About The Position

Georgia Military College is now accepting applications for a full-time Payroll Coordinator. The Payroll Coordinator is responsible for the full transactional processing of five monthly payroll cycles for more than 1,200 employees. This role ensures accurate and timely payroll administration, maintains strict compliance with all federal and state regulations, has responsibility for required reporting, and supports ongoing audit readiness through proper documentation and internal control practices.

Requirements

  • Associate’s degree in Accounting, Finance, Business Administration, or a related field required
  • Two (2) or more years of experience in payroll, accounting, or finance operations.
  • Working knowledge of payroll processes, wage and hour regulations, and payroll reporting.
  • Strong attention to detail and high level of accuracy.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Excel and financial systems.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong communication and customer service skills.

Responsibilities

  • Preparation, processing, and reconciliation of semi-monthly and monthly payrolls in accordance with institutional policy, state regulations, and federal requirements.
  • Verify payroll data including hours worked, leave balances, stipends, supplemental pay, deductions, and benefits elections.
  • Support payroll compliance activities including tax reporting, wage and hour compliance, retirement contributions, garnishments, and benefit deductions.
  • Respond to employee payroll inquiries and resolve payroll discrepancies in a timely and professional manner.
  • Maintain payroll records and supporting documentation in accordance with records retention requirements.
  • Assist with year-end payroll activities including W-2 preparation, reconciliations, and audit support.
  • Assist in preparing documentation for internal and external audits and compliance reviews (e.g., DOAA audits).
  • Support adherence to internal control procedures related to payroll and financial transactions.
  • Participate in process improvement efforts to strengthen accuracy, segregation of duties, and compliance.
  • Generate routine payroll and financial reports for management review.
  • Assist with data validation and reconciliation between payroll, HR, and finance systems.
  • Support ad hoc reporting requests related to payroll costs, staffing, and financial analysis.
  • Participate in cross-functional projects within the Resource Management Office.
  • Support system implementations, upgrades, or process changes (e.g., Colleague SaaS transition).
  • Perform other finance-related duties as assigned to support institutional priorities.
