The Payroll Coordinator is responsible for accurately processing and managing the hotel's payroll operations using the ADP system, in addition to providing support in general administrative functions of the Human Resources Department. This position ensures compliance with the labor laws of Puerto Rico and the United States, keeps payroll and personnel records up to date, and offers excellent service and support to employees. The ideal candidate is organized, detail-oriented and able to handle confidential information with professionalism and discretion.

Requirements

  • Associate's or Bachelor's Degree in Accounting, Human Resources or related field (preferred).
  • Minimum of 2 years of experience processing payroll using ADP (required).
  • Basic knowledge of Human Resources practices, including employee record management and filing.
  • Solid knowledge of Puerto Rico and United States labor and tax laws.
  • Excellent attention to detail, organization and time management.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with integrity.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Bilingual (English and Spanish): read, write and speak fluently.

Nice To Haves

  • Previous experience in the hospitality industry (preferred).

Responsibilities

  • Process bi-weekly payroll accurately and on time through ADP for all hotel employees.
  • Calculate employee pay based on hours worked, including overtime, leave and tips, ensuring correct application of policies and regulations.
  • Review and verify time sheets, attendance reports and tips before submitting payroll.
  • Manage payroll adjustments, bonuses, deductions and benefit contributions in accordance with company policies.
  • Maintain and update payroll and personnel records, ensuring compliance with Puerto Rico and federal labor regulations.
  • Coordinate with the Accounting Department to ensure accuracy in payroll reports, reconciliations and accounting records.
  • Prepare and submit payroll-related reports, including taxes, garnishments, and other legally required reports.
  • Calculate payroll obligations, including federal and state income taxes, Social Security, unemployment and other employer contributions.
  • Verify availability of licenses before processing them in the payroll system.
  • Distribute payroll checks to department supervisors and ensure receipt verification.
  • Respond to employee inquiries related to payments, deductions, benefits and timekeeping.
  • Investigate and resolve payroll discrepancies by collecting and analyzing information, and collaborating with the Human Resources and Finance departments.
  • Assist during internal and external payroll or Human Resources audits, providing required documentation.
  • Support the Human Resources Department in the recruitment and separation processes, including new employee documentation and maintenance of personnel files.
  • Ensure proper custody, organization and confidentiality of all payroll and personnel records and documents.
  • Prepare reports summarizing income, deductions, leave balances and other payroll indicators as needed.
  • Provide general administrative support to the Human Resources area, including filing, scanning and organizing employee documents.
  • Maintain compliance with company policies, internal controls and applicable labor laws.
  • Safeguard employee confidentiality and protect payroll operations through secure information handling.
  • Stay up-to-date with payroll and Human Resources best practices, ADP system updates, and changes in labor laws.
  • Perform other related tasks as assigned by supervisors or management.
