About The Position

Our Payroll Coordinator/Administrator is responsible for processing and reconciling payroll timely and accurately on a weekly basis. The Payroll Coordinator/Administrator performs quality work while upholding strict standards regarding confidentiality of employee and Company information. The Payroll Coordinator/Administrator works closely with the Payroll Manager in all areas of the payroll process and projects. In summary, our Payroll Coordinator/Administrator plays a key role in the success of our employees, our Company and is a valuable resource. Our Payroll Coordinator/Administrator requires high level of energy, great interpersonal skills, and strong personal initiative to complete tasks timely, completely and confidentially. This person must be well organized, flexible, and develop a deep understanding of our HR/Payroll systems.

Requirements

  • You have an Associate’s Degree in finance/accounting or another business related field.
  • A minimum of two to three years related experience and/or equivalent combination of education and experience.
  • Computer skills to include Excel and the ability to learn new software as needed.

Responsibilities

  • Responsible for coordinating and administrating the payroll process utilizing the payroll task list for all USA facilities. This includes answering supervisor and employee questions regarding payroll.
  • Responsible for maintaining the HR/Payroll systems with all employee and temporary employee information including new hires, terminations, benefits, and any other updates. Ensuring accuracy by utilizing reviews and audits.
  • Responsible for maintaining access to the time and attendance system to ensure: (i) employees can clock in and out, (ii)schedules are assigned to employees (iii)supervisors can review and approve the time worked by their employees and review their PTO balances and (iv) ensuring accuracy and compliance using the exception process.
  • Responsible for utilizing the unused deduction report to track unpaid benefits and update HR monthly including processing repayments according to the documented process.
  • Responsible for timely and accurate weekly payroll reporting utilizing the weekly payroll report checklist. The reporting process uses ADP reporting and Excel skills to present accurate and timely reports to management.
  • Responsible for assigned monthly journal entries. This includes using data from ADP and/or excel skills.
  • Responsible for supporting the maintenance of payroll records, wage/tax records and quarterly reports.
  • Verify payments to be made to temporary agencies including invoice processing.
  • Responsible for processing and reconciling PTO and purchased PTO. Complete weekly review and audits.
  • Support employees with log-on and ADP questions.
  • Set up and process Pay Cards for employees as needed.
  • Assist the Payroll Manager or Human Resource Department with any special projects that may develop.
  • Assist the Payroll Manager with monthly, quarterly, and year end closing as needed. This includes audit support.
