Requirements

  • Prior HRIS system experience including payroll processing and system configuration — required
  • Experience processing multi-location, multi-rate payroll in a high-volume environment
  • Hands-on benefits administration experience, including open enrollment and carrier management
  • Strong organizational skills and meticulous attention to detail
  • Excellent written and verbal communication skills; comfortable working with employees at all levels
  • High proficiency in Microsoft Excel and Microsoft Office suite
  • Ability to commute to Chelsea and Brooklyn locations
  • Comfortable operating as an individual contributor in a fast-paced, high-growth environment with evolving processes

Nice To Haves

  • Prior Exerp experience or comparable club management platform — strongly preferred
  • Familiarity with NetSuite or comparable ERP general ledger a plus

Responsibilities

  • Full payroll processing in new HRIS system, including timecards, labor allocations, multiple pay rates, bonuses, retro pay, severance, and garnishments
  • Processing department-specific payroll, including personal training commission and session-based structures
  • Manual check processing, including NetSuite vendor setup, transaction coding, and coordination with Finance
  • Year-end payroll processing — W-2s, 1095-Cs, Box 12DD reporting
  • Payroll reporting and financial distributions across all club locations
  • Reviewing and approving Personnel Action Forms (PAFs) for accuracy prior to payroll runs
  • Monitoring time-off approvals and timecard submissions to meet payroll deadlines
  • Managing I-9 compliance, documentation, and follow-up
  • Configuring and maintaining payroll system settings within HRIS platform as CPF’s platform evolves post-PEO
  • Monitoring employment statuses, pay rate changes, and terminations to ensure payroll accuracy and policy compliance
  • Centralize Chelsea Fitness payroll to match CPFC club payroll process
  • Ad hoc projects as needed
  • Lead annual open enrollment end-to-end: plan configuration in HRIS system, rate and deduction setup, EDI file coordination with carriers, employee communications, and renewal coordination with Meridian Risk (external health insurance consultants)
  • Administer ongoing enrollment changes, qualifying life events, and terminations
  • Reconcile and submit carrier invoices across medical, dental, FSA, and voluntary plans
  • Manage COBRA notifications, enrollments, and premium tracking
  • Produce monthly census reports and eligibility audits
  • Administer FSA and voluntary benefit plans
  • Set up employee and employer contributions to the plan administrator
  • Employer match reconciliation and correction of contribution discrepancies
  • Annual non-discrimination testing coordination
  • Form 5500 preparation and submission
  • Coordinate and lead the annual 401(k) audit
  • Process and track FMLA, PFL, and state disability applications
  • Coordinate return-to-work timelines with managers and employees
  • Bill and track benefit premiums for employees on leave
  • Report workplace incidents to the carrier and gather required documentation
  • Monitor case progress and coordinate with the carrier on payments and medical coverage
  • Lead and coordinate the annual workers’ compensation audit
  • Complete annual OSHA reporting and maintain required employment postings
  • Support ACA, EEO-1, and other federal and state compliance filings
  • Provide significant support to Finance & People Ops leadership in the transition to new HRIS – target transition date of 7/1/26
  • Manage health benefit (medical/dental/vision) re-enrollment onto new plan for employees currently on benefits + any new enrollers
  • Manage employee re-enrollment into other voluntary benefits (e.g. 401k/retirement, commuter benefits, etc.)
  • Work closely with Finance manager to understand entire payroll process
  • Serve as the HRIS side operational lead for the integration project
  • Partner with Finance and the NetSuite administrator to map payroll data to GL accounts, departments, and cost centers
  • Configure and test payroll GL export files to ensure accurate multi-entity coding
  • Identify and resolve data mapping discrepancies between systems
  • Document the integration workflow and maintain it as CPF’s chart of accounts evolves
