The Payroll & Benefits Coordinator supports the Payroll & Benefits Manager in the day-to-day administration and operations of the payroll/benefits department. This role is responsible for payroll processing, benefits administration, employee support, compliance activities, and maintaining accurate records. The ideal candidate is detail-oriented, organized, and committed to delivering high-quality service to employees while ensuring compliance with applicable laws and company policies.

Requirements

  • High school diploma or GED required
  • 3+ years previous experience in a similar role
  • Strong understanding of payroll processes and benefits administration.
  • Working knowledge of relevant federal and state employment laws.
  • Experience with SAP and Dayforce strongly preferred
  • Strong working knowledge of Excel, PowerPoint, and Word
  • This position must meet Export Control Compliance requirements, therefore a "US Person" as defined by 22.C.F.R. is required

Responsibilities

  • Preparation and processing of biweekly payroll.
  • Review and audit timesheets, pay adjustments, deductions, and tax withholdings for accuracy.
  • Approving payroll changes such as direct deposits and tax withholdings
  • Support payroll reconciliations and assist with payroll reporting.
  • Respond to employee payroll-related inquiries in a timely and professional manner.
  • Maintain payroll records in compliance with federal, state, and local regulations.
  • Support the administration of employee benefit programs including medical, dental, vision, life, disability, retirement, and voluntary benefits.
  • Process benefit enrollments, changes, and terminations.
  • Assist with new hire onboarding and benefits orientation.
  • Coordinate and track leave of absence documentation (FMLA, disability, etc.) in partnership with the Manager.
  • Maintain accurate benefits records and documentation.
  • Ensure compliance with applicable laws and regulations including FLSA, ACA, COBRA, ERISA, HIPAA, and state-specific requirements.
  • Assist with audits, annual filings, and reporting requirements.
  • Maintain confidential employee information in accordance with company policy and legal requirements.
  • Serve as a point of contact for employee questions related to payroll and benefits.
  • Provide clear communication regarding policies, procedures, and deadlines.
  • Assist in developing employee communications related to payroll and benefits updates.
  • Maintain organized electronic and paper files.
  • Support special projects within the Payroll & Benefits department.
  • Continuously identify opportunities to improve processes and enhance employee experience.
