About The Position

The Payroll Administrator position is a viable part to the on-going success of the company. The Payroll Administrator must be able to exercise discretion and independent judgment. The position will require adherence to payroll policies and procedures, to all state and federal regulations for payroll processing, and adaptation of new processes and task to ensure proper maintenance of the payroll system. The Payroll Administrator must alert the Payroll Supervisor if a task or process is out of compliance to existing policies and procedures or payroll regulations and recommend changes to the policies and procedures when new tasks or procedures are implemented. They must possess strong written and verbal communication skills, have working knowledge of payroll practices and basic accounting principles. They must be professional, motivated, and highly organized. They must be able to collaborate well with their co-workers. They must be able to work independently to analyze and record payroll data to the proper general ledger accounts in accordance with GAAP, and DCAA guidelines. They must continually learn tax law and policies to support employees. The Payroll Administrator must be able to follow instructions and be adept at general office skills. They must be willing to acquire the basic knowledge to process information in the company payroll and accounting databases.

Requirements

  • High school diploma or the equivalent and extensive knowledge of the payroll field.
  • A college degree in a related field.
  • 5+ years processing payroll related to government contracts.
  • Experience working in ADP payroll time reporting and processing system or other similar payroll systems.
  • Experience in working in Unanet system.
  • Experience in processing multi state payrolls and other various payrolls, including but not limited to SCA, CBA and Davis-Bacon Act payrolls.
  • Ability to multitask.

Nice To Haves

  • A college degree in a related field

Responsibilities

  • Check timesheets for accuracy
  • Enter data into databases and spreadsheets
  • Handle direct deposit requests and data
  • Process paper checks for distribution
  • Process off cycle payrolls when needed
  • Acquire all necessary signatures to distribute payroll
  • Process wage garnishments
  • Adjust pay records for approved pay for raises, bonuses
  • Process and enter data into software system(s)
  • Assist with Guam payroll processing
  • Prepare and submit paper payroll checks for employees who do not have direct deposit
  • Audit Timecards - Review timecards to make sure there are no errors
  • Ensure that all benefits and insurance premiums are deducted from paychecks
  • Prepare vacation and sick reconciliations of hours to ensure that they are accurately posted correctly to employees' records
  • Responsible for day-to-day functions of Payroll operations
  • Confirm employee's personal information into payroll database
  • Prepare and submit payroll documents
  • Adhere to all state and federal regulations for payroll processing
  • Provide training on payroll process to new employees.
  • Respond to inquiries from employees relating to their paychecks
  • Process overtime payments
  • Resolve any discrepancies surrounding payroll issues.
  • Processes W-4s for tax purposes.
  • Distributes W-2s for tax purposes
  • Assist with year-end payroll reports
  • Keep up to date on changes in company tax status
  • Report to Payroll Supervisor or the Accounting Manager updates and problems
  • Confirm that direct deposits are setup correctly
  • Assist with preparing for the company annual audit of the payroll system & operations
  • Keep detailed and organized payroll records
  • Communicate regularly with finance managers to ensure that all employee records and accounts are in line.
  • Process and initiate deposits on paydays
  • Familiarize yourself and keep current with the taxation of salaries, benefits, and other factors
  • Maintain and document all payroll records
  • Assist with audits of all payroll records
  • Detect and process issues related to uncollected payroll
  • Generate reports for upper management
  • Develop written materials/standard operating procedures (SOP) in both manual and electronic formats
  • Research discrepancies between employee, payroll, & benefit by working with the HR department, and government agencies for the purpose of ensuring accuracy of records and maximizing eligible payments
  • Other payroll related duties.
