We work a hybrid model (3 days in the office and 2 days work from home); this position is located in our Minneapolis Metro headquarters. BI WORLDWIDE is seeking a detail-oriented Payroll Administrator to support accurate, timely, and compliant payroll operations across the U.S., with coordination support for Canada. This role partners closely with Finance, Accounting, HR, Benefits, and external providers to ensure payroll integrity, strong internal controls, and clear employee support. The ideal candidate brings payroll expertise, strong reconciliation skills, and a customer-focused mindset.

Requirements

  • Strong working knowledge of U.S. payroll processes, payroll taxes, and wage & hour compliance.
  • Experience reconciling payroll to the general ledger with high attention to detail.
  • Ability to interpret payroll registers, audit trails, and tax reports.
  • Proficiency with payroll systems (ADP Workforce Now preferred) and Excel.
  • Excellent organizational, communication, and customer service skills.
  • Demonstrated discretion handling confidential employee information.
  • Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field, or equivalent experience preferred.
  • 3+ years of payroll administration experience in a multi‑state environment preferred.

  • Experience supporting payroll audits and tax filings preferred.

Responsibilities

  • Process bi‑weekly payroll using ADP Workforce Now, including payroll execution, post‑processing balancing, and exception resolution.
  • Reconcile payroll registers to general ledger outputs and partner with Accounting on accruals and corrections.
  • Coordinate payroll funding and transmittals, confirming settlement and resolving bank or transmission issues as needed.
  • Execute periodic payroll audits to identify discrepancies, strengthen controls, and support compliance.
  • Serve as first line payroll support, responding to employee questions related to pay, taxes, and deductions.
  • Manage wage garnishments and levies, including order intake, setup, priority rules, withholding limits, and agency communications.
  • Maintain confidentiality and ensure sensitive payroll and garnishment data is accessed on a need‑to‑know basis.
  • Maintain centralized bonus plan documentation, eligibility rules, approvals, and effective dates.
  • Support yearend and special bonus calculations with documented controls, reconciliations, and peer review.
  • Partner with Finance and HR to ensure accurate setup and clear employee communications.
  • Act as a U.S. payroll liaison for Canada by coordinating inputs, timelines, and documentation with internal stakeholders and external providers.
  • Maintain awareness of the Canadian payroll calendar and support compliance documentation as requested.
  • Produce standard payroll reports for HR and Finance stakeholders.
  • Support quarterly and annual payroll tax filings and reconciliations; research and resolve variances.
  • Maintain state and local tax IDs, rates, and supporting documentation; assist with internal and external audits.
