Position Overview We are seeking a reliable, detail-oriented Payroll & Accounts Payable Specialist to join our team in a fully remote capacity. In this role, you’ll help ensure that our employees are paid accurately and on time, while also managing vendor payments and supporting our day-to-day financial operations. This position is ideal for someone who enjoys working independently but also values staying connected with a team. You’ll regularly collaborate with our finance and HR staff while managing your own workflow in a remote environment.

Requirements

  • Minimum of 3 years of experience in payroll and/or accounts payable
  • Strong understanding of payroll processes and basic accounting principles
  • Experience with payroll and accounting systems (ADP, QuickBooks, or similar)
  • Excellent attention to detail and accuracy
  • Strong organizational and time management skills
  • Ability to handle confidential information with professionalism
  • Proficiency in Microsoft Excel
  • Comfortable working remotely and communicating effectively with a distributed team

Nice To Haves

  • Experience in a nonprofit or mission-driven organization
  • Familiarity with multi-state payroll
  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field

Responsibilities

  • Process biweekly payroll with a high level of accuracy and consistency
  • Maintain employee payroll records, including updates for new hires, changes, and departures
  • Ensure compliance with all applicable federal, state, and local payroll laws
  • Prepare and submit payroll tax filings and reports
  • Review payroll data carefully and resolve discrepancies proactively
  • Respond to employee questions regarding pay, deductions, and related matters with clarity and care
  • Review and process vendor invoices in a timely manner
  • Accurately code and enter invoices into the accounting system
  • Prepare and issue payments
  • Maintain well-organized records of all accounts payable activity
  • Reconcile vendor statements and follow up on discrepancies
  • Assist with month-end processes related to payables
