About The Position

The National WWII Museum is currently seeking a Payroll Accountant. Reporting to Associate Vice President of Accounting, the Payroll Accountant is responsible for managing the payment process of all Museum employees and oversees payroll records, taxes, and deductions. This position also works closely with People and Culture to ensure employee data and payroll information is correct.

Requirements

  • BS/BA in business administration, accounting, human resources or related field and or equivalent work experience.
  • High level of expertise in Paylocity payroll software.
  • Familiarity with federal, state and local wage & hour and payroll tax requirements.
  • Current knowledge of payroll procedures and related laws.
  • Initiative, strong organizational skills, and attention to detail.
  • An analytical mind and good math skills.
  • Good Excel skills with ability to learn more advanced formulas and applications
  • Outstanding communication skills.
  • Organizational and leadership skills.
  • Ability to work independently under tight time constraints consistently meeting deadlines.
  • Must have extremely high level of confidentiality and discretion.

Responsibilities

  • Process payroll for all Museum salaried and hourly employees, including review of time sheets and leave requests as electronically submitted by the department managers.
  • Work with the department managers and staff to ensure that payroll is accurate and resolve any issues timely. Submit payroll via the current payroll system to meet payroll deadlines.
  • Manage the production and issuance of paychecks or electronic transfers to bank.
  • Monitor promotions, transfers, and terminations.
  • Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Balance the payroll and insurance accounts by resolving payroll discrepancies.
  • Maintains payroll guidelines by writing and updating policies and procedures.
  • Comply with federal, state and local legal requirements by studying existing and new legislation; enforce adherence to requirements; advise management on needed actions.
  • Maintain employee confidence and protect payroll operations by keeping information confidential.
  • Develop processes for wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including reporting to the necessary State office or jurisdiction.
  • Liaise with auditors and manage payroll and 401K audits.
  • Manage annual payroll budget prep using the current budgeting system to support team and meet established deadlines.
  • Post payroll journal entries to the General Ledger on a timely basis and reconcile payroll related general ledger accounts at month end.
  • Manage transmission of 401K contributions and census reports.
  • Coordinate efforts among payroll, human resources, finance, and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, overtime, leave balances, head count, and retirement contribution reports).
  • Process fiscal year-end reports and reconcile W-2 information for accuracy.
  • Document any discrepancies in payroll processing to maintain a clear record of reconciliation and adjustments.
  • Work with Information Technology, People and Culture and other contacts (including third-party vendors) to ensure security protocols are in place for all pay systems.
  • Support the Accounting Team by handling routine and ad hoc tasks during non-peak periods.
  • Maintain professional and technical knowledge by attending educational workshops; review professional publications, establish personal networks; participate in professional societies.
