About The Position

Payment Support Specialists in the WVU Shared Service Center (SSC) provide guidance and support to WVU employees and other customers relating to their purchasing and procurement support needs. This role is responsible for assisting WVU central units, such as Procurement and Payment Services and Division of Finance, to maintain consistency and supporting policies and procedures created by these central units. The ideal candidate is excited about building relationships across all levels of the organization, possesses excellent attention to detail, strong problem-solving skills, and the ability to work with minimal supervision. They take pride in their ability to organize, plan, and execute on requests from leaders and strive to provide great customer service.

Requirements

  • Bachelor’s degree in business, secretarial or technical training related to the position.
  • A minimum of one (1) year of experience involving:
  • Must be able to communicate well and work with a variety of constituencies.
  • Must be proficient in Windows-based applications and have strong internet skills
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.
  • Communicates effectively, both orally and in writing. Listens to others and effectively comprehends information
  • High degree of integrity, ethical practices, tact and ability to be direct and influence others while remaining diplomatic
  • Ability to read and understand procedures

Responsibilities

  • Provides purchasing support for WVU faculty, staff and students. Assisting customers with use of the systems owned by the central unit of Procurement and Payment Services
  • May act as a delegate when a customer needs to place a non-catalog order, including keying the order and following up with the customer to determine receipt of goods
  • Reviews and approves transactions in the WVU Procurement and Payment Services systems, such as Mountaineer Marketplace and MyExpenses for both WVU and WVURC. Must understand and adhere to, State and WVU procurement and travel rules and requirements.
  • Understand WVURC polices and procedures, as required by the sponsoring agency
  • Process daily deposits for WVU Health Sciences
  • Process fringe transfers and revenue transfers
  • Place high dollar purchases with a WVU or WVURC Procurement Card
  • Handles specialized transactions for customers (example coordination of international vendor payments, stipends and honorariums)
  • Support with purchase orders and reimbursements
  • Provides guidance in using systems
  • Resolves problems when customers need support with financial transactions
  • Completes requests for new vendor setup, discussing appropriateness with requester and facilitates contacting vendor for additional documentation
  • Manages and tracks gift card use
  • Processes and reconciles cash advances
  • Collaborate with other team members and the manager to maintain up to date procedures for the unit as technology and other work continues to change
  • Maintain an understanding on use of the knowledgebase and how to obtain answers from it
  • Maintain an understanding of the Board of Governors rules and other departmental WVU policies
  • Other administrative duties as assigned, including supporting other activities within the Financial Management area of the SSC
