About The Position

This position performs administrative functions to support smooth and efficient clinical service and practice operations. It involves administrative duties related to patient visits, including scheduling, check-in, and check-out. The role acts as a "Super User" for scheduling, registration, and billing systems, providing assistance and training to others in these areas. The Patient Services Coordinator III may also perform more complex or specialized functions such as surgical scheduling or managing schedule changes/blocking. Additionally, the role handles, screens, and takes messages related to prior authorizations, provider questions, prescription refills, and test results.

Requirements

  • High School Diploma or Equivalent required
  • 3-5 years office experience required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

Responsibilities

  • Performs administrative functions to support smooth and efficient clinical service and practice operations.
  • Performs administrative duties related to patient visits including scheduling, check-in, check-out duties.
  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries and triage matters appropriately.
  • Process patient billing forms and scan documents to patient medical record (EPIC).
  • Acts as "Super User" for scheduling, registration and billing systems.
  • Provides assistance and training to others in scheduling, registration and billing systems.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Additional responsibilities as assigned.
