About The Position

The Patient Services Coordinator II plays a critical role in ensuring a seamless and positive experience for patients throughout their healthcare journey. This position is responsible for coordinating patient appointments, managing communications between patients and healthcare providers, and facilitating the efficient flow of information within the clinical setting. The coordinator acts as a liaison to address patient inquiries, resolve scheduling conflicts, and support administrative processes that enhance patient satisfaction and operational efficiency. By maintaining accurate patient records and collaborating with multidisciplinary teams, the coordinator helps optimize care delivery and supports compliance with healthcare regulations. Requirements

  • High school degree or equivalent
  • 2 – 3 years of customer service experience
  • Proficiency with personal computers; excellent written and verbal communication skills
  • Ability and willingness to work a flexible schedule to cover peak times
  • Ability to adapt to a fast-paced environment quickly; learn quickly, maintain accurate information, and ability to follow direction.
  • Ability to adapt to new situations that may arise due to program changes
  • Ability to travel as needed Required
  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Minimum of 2 years experience in a healthcare administrative or patient services role.
  • Proficiency with electronic health record (EHR) systems and standard office software.
  • Strong communication and interpersonal skills to interact effectively with patients and healthcare teams.
  • Knowledge of medical terminology and healthcare regulations related to patient privacy (e.g., HIPAA).

Nice To Haves

  • Bachelor’s degree in healthcare administration, business, or related field.
  • Experience working in a clinical or hospital environment.
  • Familiarity with insurance processes, billing, and coding.
  • Certification in medical office administration or patient coordination.

Responsibilities

  • Schedule and confirm patient appointments, ensuring optimal utilization of provider time and resources.
  • Serve as the primary point of contact for patient inquiries, providing timely and accurate information regarding services, procedures, and policies.
  • Coordinate communication between patients, healthcare providers, and administrative staff to facilitate smooth clinical operations.
  • Maintain and update patient records in compliance with privacy regulations and organizational standards.
  • Assist with billing inquiries and insurance verification to support the financial aspects of patient care.
  • Identify and resolve scheduling conflicts or patient concerns promptly to enhance patient satisfaction.
  • Support the implementation of process improvements aimed at increasing efficiency and quality of patient services.
  • Handle all inbound/outbound patient, physician, and physician advocate communications in a professional manner and within program guidelines.
  • Accurately enter eligibility paperwork and/or other information into system. Maintain accurate and complete documentation of all applications, mailers, orders, enrolment forms and new patients.
  • Maintain accurate and complete documentation and system records of all inquiries.
  • Efficiently perform specialized functions for each program with a high level of accuracy. Aid department Lead/supervisor in developing other employees, answering questions, etc.
  • Enter and interpret program materials to determine enrollment criteria; explain to the caller or other employees the necessary requirements to be on the program.
  • Place outbound phone calls for clarification on any issues involving program guidelines
