Job Summary Position Summary: This role supports the oral and maxillofacial surgery practice by coordinating all aspects of patient care and physician scheduling. Reporting to the Accounts Receivable Manager, the individual will ensure smooth operations through high-quality customer service, appointment coordination, insurance approvals, and workflow optimization.

Requirements

  • We’re seeking a candidate with at least a high school diploma (Associate’s or Bachelor’s preferred) and 3–5 years of relevant experience.
  • Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced clinical setting are essential.

Nice To Haves

  • Ideal applicants will be tech-savvy, comfortable using Epic and other scheduling systems, and knowledgeable about insurance processes—including dental.

Responsibilities

  • Manage high-volume phone lines and patient communications.
  • Schedule appointments, procedures, and surgeries using Epic.
  • Coordinate referrals, authorizations, and pre-certifications.
  • Assist with billing inquiries and financial quotes.
  • Maintain surgical schedules and prepare necessary documentation.
  • Collaborate with internal departments (e.g., Admitting, International Office, Interpreters).
  • Ensure HIPAA compliance and protect patient confidentiality.
  • Support process improvements and special projects.
  • Provide coverage during staff absences and assist in training new team members.
  • Communicate with physicians, nurse practitioners, and other departments to improve patient flow.
  • Participate in meetings and technology/process improvement initiatives.
