Job Summary The Patient Services Representative – Urgent Care Center serves as the first point of contact for patients and visitors in a fast-paced clinical environment. The front office position plays a vital role in ensuring and exceeding the expectations of the patient. This role is responsible for patient registration, insurance verification, scheduling, and collecting payments, while ensuring a positive and professional patient experience. The Patient Services Representative supports the daily operations of the urgent care center through effective communication, customer service, and administrative accuracy.

Requirements

  • 1-2 years of customer service, administrative, or healthcare front office experience required
  • Strong customer service and interpersonal skills in a fast-paced setting.
  • Ability to accurately collect and enter data with attention to detail.
  • Proficient in the use of EMR systems, scheduling tools, and basic office software.
  • Strong computer skills required, with the ability to efficiently multitask and work across multiple screens simultaneously.
  • Ability to multitask, problem-solve, and remain calm under pressure.
  • Knowledge of insurance verification and medical billing procedures.
  • Excellent verbal and written communication skills.
  • Ability to work 12-hour shifts, including some weekends and holidays.

Responsibilities

  • Greets patients and visitors promptly and professionally, ensuring a welcoming and courteous environment.
  • Registers patients by verifying demographic, insurance, and financial information accurately and efficiently.
  • Collects copays and balances, posts payments, and provides receipts in accordance with facility protocols.
  • Schedules follow-up appointments and coordinates referrals as directed by clinical staff or providers.
  • Answers multi-line phones, responds to patient inquiries, and routes calls to appropriate departments.
  • Ensures all required forms, consents, and documents are completed and scanned into the electronic medical record (EMR).
  • Analyzes health insurance benefits, insurance eligibility and obtains necessary authorizations or referrals as needed.
  • Maintains the cleanliness and organization of the front desk, waiting area, and shared workspaces.
  • Communicates effectively with clinical and non-clinical team members to support efficient patient flow.
  • Maintains confidentiality of patient information in accordance with HIPAA and OSHA compliance as well as all organizational policies.
  • Support staffing and operational needs by traveling to other Urgent Care locations as required.
  • Performs other duties as assigned.
  • Maintains regular and reliable attendance.
  • Complies with all policies and standards.
