About The Position

RAYUS Radiology is seeking a Patient Service Representative to join their team. This role is crucial for challenging the status quo in radiology by making it a critical first step in diagnosis and treatment. The representative will execute day-to-day patient-facing services, ensuring quality assurance and customer service satisfaction. Key responsibilities include facilitating and coordinating communication between patients, family members, and staff, and providing optimal patient-centered services. This position supports the imaging center's front office, medical records, and technologists through a rotation of front desk, medical records, and technologist assistant roles. It is a full-time position working Monday-Friday, 3:30pm - 12:00am.

Requirements

  • High School diploma, or equivalent
  • One (1) year of applicable customer service experience
  • Experience working in a healthcare setting
  • Working knowledge of Microsoft Office
  • Proficient with using computer systems and typing

Nice To Haves

  • Two (2) years' customer service experience
  • Experience using electronic medical record/health record (EMR/HER) computer systems
  • Experience working in a Radiology/Diagnostic Imaging healthcare setting
  • Knowledge of basic medical terminology

Responsibilities

  • Serve as initial point of contact for patients and visitors, providing positive patient service experiences for both front desk and medical records interactions.
  • Register patients by validating accurate demographic information and professionally collecting out-of-pocket payments prior to services.
  • Inform patients about delays and wait times, and follow up to ensure inquiries or complaints are resolved.
  • Answer, investigate, and/or direct patient inquiries or complaints to a supervisor or manager.
  • Obtain and validate photo identifications and insurance cards, scanning relevant documents into patient charts.
  • Provide and thoroughly explain Consent, Financial, and HIPAA compliance related documents to patients.
  • Proficiently utilize and apply EHR software, hardware, and programs.
  • Scrutinize prescriptions and referrals for accuracy to ensure patients receive appropriate and necessary exams.
  • Effectively coordinate with interdepartmental professionals for appointment scheduling and admission/encounter.
  • Verify and dispense oral contrast and preparation instructions to patients scheduled for upcoming appointments.
  • Participate in medical office emergency routines, including summoning ambulance/EMS or assisting staff.
  • Manage outgoing and incoming faxes through electronic and manual fax machines.
  • Maintain appropriate levels of administrative office supplies (e.g., brochures, cards, sign-in sheets).
  • Contact referring Physician offices to verify or request pending information necessary for patient exams.
  • Organize and prioritize tasks to meet deadlines and maintain efficient patient flow, taking appropriate action with sound judgment.
  • Use proper phone and written etiquette when handling correspondence.
  • Maintain cleanliness, sanitation, literature organization, and beverage/refreshment supply in reception and patient waiting areas.

  • Adhere to and comply with company policies, procedures, operational objectives, and goals.
  • Maintain strict confidentiality of PHI in adherence to HIPAA regulations.
  • Ensure quality assurance of health records by verifying completeness, accuracy, and proper entry into computer systems.
  • Retrieve and release health information data/medical records in compliance with HIPAA and company policies.
  • Interact cooperatively and inclusively with patients and team members of different diversities.
  • Work as a liaison between healthcare providers and offices in a timely manner.
  • Provide clear and friendly patient education on diagnostic examinations and deliver instructions.
  • Professionally manage Stat/Urgent cases pending communication from referring healthcare provider instructions.
  • Monitor all modality schedules.
  • Greet and escort patients to changing rooms and briefly explain procedures.
  • Perform prep/changing room turnaround using proper sanitizing techniques.
  • Help technologists stay on time by preparing the next patient.
  • Ensure all patient areas are stocked and organized.
  • Clean and stock patient prep room and patient restroom.
  • Stock linen and empty laundry at the end of the shift.
  • Check with technologists, center supervisor, or center manager for additional duties as needed.
