The listed pay range or pay rate reflects compensation for a full-time equivalent (1.0 FTE) position. Actual compensation may differ depending on assigned hours and position status (e.g., part-time). The Patient Reception Rep answers telephones promptly and courteously, handling multiple phone lines, and routes patient calls efficiently and appropriately. This role involves scheduling and canceling appointments using established office guidelines, scheduling patients for outpatient tests and surgeries, and preparing for the day by reviewing eligibility and phone reports. The representative prepares new patient charts and/or paperwork at patient presentation, greets all patients and visitors professionally, and informs patients of privacy policies, procedures, and any delays in physician schedules, assisting with patient comfort. Key duties include performing registration to ensure accurate demographic and insurance information, complying with department procedures and regulatory guidelines for HIPAA, Advance Beneficiary Notice, Advance Directives, and Patients Rights. The position ensures all requirements and fields on check-in and check-out pages are satisfied, obtains copies of insurance cards, driver's licenses, authorizations, and referrals, and collects co-payments and outstanding balances. The rep refers patients to CBO staff for past due balances, reviews and complies with Patient Account Notes and Appointment Notes, and accepts accountability for all Worklists/Boxes on the dashboard. Other responsibilities include confirming charges, approving claim creations, validating and submitting appropriate claims for real-time adjudication, and working “Day End Review” reports and designated Tier-based HOLD Claim Worklists daily. The role also involves scheduling follow-up appointments, creating appointment ticklers, completing referrals and pre-authorizations, and managing daily time of service and deposit batches. Clerical duties such as processing mail, confirming appointments, sending out follow-up notices, and maintaining statistics are also part of the job. The Patient Reception Rep may be assigned to other Capital Health Medical Group Practices as needed.
