Patient Coordinator - Med Spa
About The Position

As a Patient Coordinator, you’ll be the face of our med spa, welcoming patients, guiding them through their aesthetic journey, and ensuring their experience is exceptional from start to finish. We’re looking for someone who is passionate about patient care, highly professional, and thrives in a fast-paced, beauty and wellness-driven environment.
Requirements
- 3-5 years of experience in healthcare, aesthetics, or high-end customer service
- Excellent communication and organizational skills
- Ability to multitask and stay calm in a dynamic environment
- Strong computer proficiency (Microsoft Office; EMR experience a plus)
- Passion for aesthetics, skincare, and helping people feel confident
Nice To Haves
- Experience in a med spa, cosmetic dermatology, or plastic surgery practice
- Working knowledge of medical terminology, HIPAA regulations, and patient intake procedures
- Nextech EMR experience
Responsibilities
- Greet patients warmly in person and on the phone—set the tone for a five-star experience
- Schedule consultations, injectable treatments, skincare services, and laser appointments
- Manage appointment reminders, confirmations, and follow-up communication
- Present treatment plans, pricing, promotions, and financing options to patients
- Guide new patients through paperwork, intake, and EMR documentation (Nextech)
- Communicate effectively with providers about patient goals and expectations
- Maintain accurate patient records and documentation in our EMR system
- Ensure HIPAA compliance and uphold all patient privacy protocols
- Collaborate with clinical and administrative teams to streamline operations
- Support special promotions and events by answering patient inquiries and booking appointments
- Participate in training sessions, meetings, and ongoing learning to stay current with industry trends
- Represent Skin Artisans with professionalism, polish, and kindness—every day
