Requirements

  • 2+ years experience in healthcare scheduling, referral coordination, or medical front office preferred
  • Strong attention to detail and organization
  • Clear and professional communication skills (phone and in person)
  • Comfortable tracking and reporting performance metrics
  • Proactive problem-solver
  • Adaptable with software systems and EMR platforms
  • Team-oriented with a positive attitude

Responsibilities

  • Manage incoming referrals and initiate patient contact promptly
  • Educate patients clearly about services and first-visit expectations
  • Remove scheduling barriers and problem-solve obstacles to care
  • Ensure accurate data entry and documentation
  • Track referral pipeline weekly
  • Report on: Referrals received Referrals scheduled Evaluation arrival rate
  • Identify cancellation trends and recommend solutions
  • Drive goals of: 88%+ referral conversion rate 92%+ evaluation arrival rate
  • Strategically fill provider schedules
  • Monitor Plan of Care dashboards to support patient adherence
  • Assist with schedule adjustments when providers are out
  • Collaborate across clinics to ensure smooth operations
  • Develop working knowledge of PT/OT specialty services
  • Understand basic insurance workflows
  • Communicate consistently and professionally
  • Participate in ongoing training and staff meetings
