About The Position

Support patients through intake, scheduling, insurance verification, and coordination of ketamine, Spravato, TMS, and therapy services. Be a vital part of a compassionate, collaborative clinic. We are seeking a Patient Care Coordinator who will also serve as an Assistant to the PMHNP (Psychiatric Mental Health Nurse Practitioner). This part-time role supports clinical and administrative workflows, including patient intake, insurance preauthorizations, scheduling, and coordination of specialized mental health treatments. This role is ideal for someone who enjoys guiding patients through treatment options while working closely with a provider in a collaborative care setting.

Requirements

  • Strong reliability, calm presence, and professionalism, helping ensure the clinic runs smoothly
  • Organized and detail-oriented with multitasking ability
  • Compassionate, patient-focused communication
  • Must have experience with insurance verification, preauthorizations, or mental health/medical clinic office workflow

Responsibilities

  • Coordinate new patient intake and onboarding calls
  • Explain care options, including therapy, medication management, ketamine, Spravato, and TMS
  • Conduct first-line verification of patient eligibility for specialized treatments
  • Gather and organize insurance and clinical information for provider review
  • Schedule appointments across all service lines
  • Obtain and track insurance preauthorizations, including monitoring expiration dates
  • Maintain accurate patient records and complete end-of-day charting (including Spravato REMS)
  • Serve as backup to the front desk during vacations, sick days, and high-volume periods
  • Greet patients, answer phones, and process payments
  • Support a smooth, positive patient experience
