This role ensures seamless scheduling, medication tracking, patient engagement, and operational support to promote continuity of care and optimize viral suppression outcomes. The ideal candidate is highly organized, patient-centered, and experienced in clinical coordination within a fast-paced healthcare setting. Supervisory Accountability Involves no responsibility or authority for the direction of others. Nature and Scope External contacts include a variety of third party payers, medical organizations, patients and other healthcare personnel

Requirements

  • Current certification as a Medical Assistant (CMA or equivalent).
  • High school diploma or equivalent (Associate degree preferred).
  • Minimum 1–2 years of experience in a clinical or healthcare setting (HIV or infectious disease experience preferred).
  • Experience with EMR systems.
  • Strong organizational, communication, and time-management skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Commitment to patient-centered care and health equity.

Nice To Haves

  • HIV or infectious disease experience preferred
  • Associate degree preferred

Responsibilities

  • Maintain scheduling and tracking systems for long-acting injectable HIV medications.
  • Coordinate with clinical staff and specialty pharmacies to ensure timely medication procurement and dosing.
  • Monitor injection schedules and proactively address potential delays or barriers to care.
  • Assist with patient reminders, appointment confirmations, and follow-up outreach to reduce missed visits.
  • Perform patient check-in and check-out procedures.
  • Verify insurance eligibility and obtain necessary authorizations.
  • Coordinate referrals and follow up to ensure continuity of care.
  • Document patient interactions and care coordination activities in the Electronic Medical Record (EMR).
  • Support reporting initiatives related to patient engagement and viral suppression outcomes.
  • Collaborate with providers, nurses, case managers, and pharmacy partners.
  • Maintain accurate and confidential patient records.
  • Assist with daily clinic workflows to ensure efficient operations.
  • Support quality improvement initiatives and performance reporting.
