About The Position

Virginia Fertility & IVF is a busy and successful Reproductive Endocrinology and Infertility clinic in Charlottesville, VA. We provide compassionate care in a collaborative, team-focused environment. We are currently seeking a Patient Care Coordinator to join our team. We are looking for a candidate who is positive, compassionate, a team player, and has a strong desire to truly help patients in an emotionally charged field. This is a vital role in the success of our practice and in ensuring patients feel supported while receiving excellent quality care. The Patient Care Coordinator maintains patient satisfaction by serving as a liaison between patients, staff, physicians, and nurses. This role reviews IVF financial information, drives customer service through proactive follow-up with new patients, and monitors and responds to patient reviews and complaints in a timely, professional, accurate, and courteous manner.

Requirements

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Six months to one year of experience in a medical office setting preferred.
  • Strong organizational, time management, and communication skills.
  • Ability to manage a fast-paced environment, multitask, and make accurate decisions.
  • Proficient with computer systems, multi-line phones, fax machines, and copiers.

Responsibilities

  • Follow up with all new patients after their initial appointment to assess satisfaction, answer outstanding questions, and schedule follow-up testing or treatment.
  • Provide financial counseling to self-pay and insurance patients; send good faith estimates and manage financial applications.
  • Mark IVF billing sheets, attach waivers, and load encounters.
  • Collect advance payments for designated procedures.
  • Create encounters and collect payments for genetic counseling.
  • Monitor and respond to Q-reviews.
  • Address patient complaints with strong listening skills and follow-through.
  • Complete FMLA, IVF grant, and related paperwork.
  • Perform daily scanning and order office supplies.
  • Enforce policies on patient rights and responsibilities.
  • Support quality improvement initiatives.
  • Perform additional duties as directed by physicians or managers.
