About The Position

The Patient Access Representative ensures the accuracy and completeness of patient registrations by gathering complete and timely information. This role involves close collaboration with ancillary departments and clinical staff to support high-quality patient care. The representative also serves as a resource for patients regarding financial matters, including advance payments and payment arrangements. This position plays a key role in streamlining the intake process and enhancing operational efficiency and patient satisfaction.

Requirements

  • High School diploma or equivalent
  • A minimum 1-3 years' experience in hospitality/customer service is required
  • Proficient in Microsoft Word and general computer applications.
  • Strong written and verbal communication skills, including professional phone etiquette.
  • Detail-oriented with strong organizational and multitasking abilities.
  • Ability to work collaboratively in a team environment.
  • Ability to prioritize tasks and remain effective in high-pressure situations.

Nice To Haves

  • experience in a healthcare setting or with patient-facing roles is highly desirable.
  • Experience with EHR systems and clinical reception or medical administrative roles preferred.

Responsibilities

  • Welcome patients and caregivers with courtesy and professionalism; escort or direct them to the appropriate area and ensure their comfort throughout the arrival process.
  • Interview patients or representatives to complete registration, obtain medical and billing information, and secure signed documentation.
  • Provide information on hospital procedures, billing, and payment policies; verify insurance eligibility and authorizations; address patient inquiries and concerns.
  • Maintain accurate records by entering data into databases and generating real-time and daily audit reports.
  • Reconcile daily collection batches and correct errors prior to closeout and ensure a clean master patient index in CPSI.
  • Prioritize patient registration and care based on schedule and individual needs.
  • Facilitates clear, timely communication between patients and staff to support coordinated care.
  • Prepares patient chart, admission and discharge documentation for future surgeries or procedures.
  • Review daily schedules to confirm patient charts and documentation are complete.
  • Accurately enter demographic data and collaborate with insurance verification to resolve account discrepancies.
  • Schedules diagnostic procedures and obtains or performs medical necessity checks.
  • Coordinates and schedules interpretation and translation language services.
  • Performs general administrative and clerical tasks.
  • Performs additional duties as assigned to support departmental operations.
