Welcomes and initiates contact with patient families to obtain necessary registration and insurance information. Registers patients by using the department guidelines. Ensures that all patient accounts flow through the revenue cycle without errors caused by lack of insurance verification, incomplete or inaccurate demographic information or other registration-related errors.

Requirements

  • High School graduate or Certificate of General Educational Development (GED) or High School Equivalency Diploma (HSED) Required
  • 2+ years 3 years of experience in Patient Access or experience in a healthcare setting Required
  • Ability to ensure professionalism by utilizing de-escalation techniques for appropriate conflict resolution.
  • Must meet all competencies and requirements of all areas in Patient Access; including patient placement, and be cross-trained in other areas of Patient Access to support entire Time-of-Service Patient Access areas.
  • Staff as needed.
  • Show competency in all PAR I and PAR II responsibilities as well as working knowledge of each site within region.
  • Excellent organizational, analytical, and prioritizing skills necessary to work in a fast-paced environment with multiple tasks done simultaneously.
  • Ability to work collaboratively and lead a team.
  • Ability to work a weekend schedule, holiday schedule, on-call schedule, and shift hours and/or locations as needed.
  • Must have a knowledge of Patient Access downtime functions and responsibilities either through competency or participation for each location within region.
  • Knowledge of computer and keyboard, Microsoft Window, Microsoft Office, and basic word processing skills and ability to troubleshoot basic PC issues.
  • Proficient data entry skills with accuracy and speed.

Responsibilities

  • Assists with the management of daily schedule changes and works with department leadership to ensure proper staffing/coverage in all areas of department.
  • Assigns Patient Access Representatives to areas according to established guidelines and training.
  • Staff areas as needed if coverage not found successfully.
  • Communicates assignments and changes to appropriate personnel.
  • Makes telephone calls to personnel when there are call ins, additional staff are needed or to cancel unnecessary staff when not needed during assigned work hours.
  • Guides meetings/plans for Growth and Development Committees.
  • Utilizes Children’s WI (CW) electronic health record and Microsoft programs to perform registration activities, reporting, and department audits.
  • Completes special projects and performs other duties as assigned.
  • Greets, welcomes and guides patients and families.
  • Maintains strong customer focus while determining patient and family needs including escorting families, giving directions, etc.
  • Enters all registration information (demographic and insurance) accurately and completely.
  • Scans registration documents as needed into the system.
  • Ensures confidentiality to CW customers by creating and maintaining a secure environment in compliance with HIPAA.
  • Assists with the onboarding process, preceptor training for new staff in department, and coordinates with the Revenue Cycle Training and Development team the initial and ongoing training of Patient Access Representatives.
  • Ensures department competencies, training material and other resources are current.
  • Assembles New Hire Folder and training schedule; communicates training schedule/guides to trainers/preceptors.
  • Reviews data and collaborates with leadership team to address department training and process improvement needs.
  • Travels to each site within region frequently to support partnership with peers and clinical team members, providing a seamless encounter for patient families by building relationships internally.
