About The Position

This position serves as an essential support role within the Addison Parts Department, which includes multiple Parts Conter representatives and Warehouse personnel. Responsibilities include providing administrative assistance to the department’s operations, supporting customers, facilitating inventory ordering and control functions, and managing & expediting back-ordered parts. The individual collaborates closely with other team members and interacts directly with customers, technicians, and internal staff who rely on the parts department for materials delivered on schedule. Additionally, the role requires coordination with Caterpillar and other vendors supplying parts to Altorfer.

Requirements

  • Requires high school diploma or equivalent; business-related college degree/certificate preferred.
  • Administrative, accounting, payroll, or clerical experience required.
  • Strong verbal and written communication abilities, and exceptional customer service skills, are required.
  • Ability to perform general business mathematics is required.
  • Must be self-motivated and able to handle multiple tasks in a fast-paced setting.
  • Proficiency in computer applications including Microsoft Word, Excel, and Outlook is required.
  • Ability to professionally resolve issues.
  • Requires strong organization and deadline management skills.
  • Requires ability to work collaboratively within a team and adapt to changes.
  • Availability for overtime work as necessary is expected.

Responsibilities

  • Delivers exceptional customer service while providing clerical and administrative support to the parts department.
  • Assists customers with parts sales and backorder requirements.
  • Supports backorder processing and expediting.
  • Monitors and orders non-OEM parts from designated vendors as required.
  • Manage and monitor inventory of parts and shop or office supplies.
  • Responds to customer inquiries and addresses questions promptly.
  • Provides prompt and accurate order status updates to both staff and customers.
  • Issues purchase orders, codes invoices accurately, and updates cost/sell data to the DBS system.
  • Reviews emailed and system-generated reports daily, taking appropriate action as necessary.
  • Assists in accounts payable coding within the online system.
  • Aids in reconciling freight accounts and charges from freight vendors.
  • Administers cash transactions, maintains accurate records of all such activities, and submits transaction details to accounts receivable.
  • Performs additional duties as assigned.
