As a Parts Administrator, you’ll play a critical behind-the-scenes role in keeping our fleet running efficiently and our operations moving forward. The Parts Administrator is responsible for managing inventory, sourcing parts, and supporting maintenance operations for our fleet and equipment. This role is essential to minimizing downtime, controlling costs, and ensuring our technicians have the right parts at the right time to keep GFL’s trucks on the road.

Requirements

  • High school diploma or equivalent (post-secondary education preferred)
  • 2+ years of experience in parts administration, inventory control, or fleet maintenance support
  • Experience with inventory or fleet maintenance software
  • Strong organizational skills and attention to detail
  • Ability to multitask in a fast-paced, team-oriented environment
  • Strong communication and customer-service mindset
  • Proficiency in Microsoft Office (Excel experience a plus)

Nice To Haves

  • Knowledge of heavy-duty truck, diesel, or equipment parts (preferred)

Responsibilities

  • Manage daily parts inventory for fleet and facility maintenance
  • Order, receive, stock, and issue parts and supplies accurately
  • Maintain inventory levels and conduct regular cycle counts
  • Track parts usage, costs, and warranties in fleet maintenance systems
  • Coordinate with vendors, negotiate pricing, and ensure timely deliveries
  • Support mechanics and maintenance leadership with parts research and availability
  • Process invoices, purchase orders, and returns
  • Maintain a clean, organized, and compliant parts room
  • Assist with inventory audits and cost-control initiatives
  • Ensure compliance with company policies and safety standards
