SUMMARY: Responsible for assisting members of the parts department with clerical and administrative functions.

Requirements

  • High school diploma or general education degree (GED); and one + year related experience; or equivalent combination of education and experience.
  • Proficiency in Microsoft office programs, general familiarity with computer systems, and the ability to learn new software applications as required.
  • The associate must be able to type 45 wpm accurately.
  • Ability to read and write.
  • Ability to effectively communicate with co-workers and customers.
  • Ability to understand and translate correspondence from dictation.
  • Must possess basic math skills.
  • Ability to perform basic math operations using units of American money, weight measurement, volume and distance.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to pass drug screening
  • Ability to prove US employment eligibility

Nice To Haves

  • Knowledge of NetSuite and software used by Trane is a plus.

Responsibilities

  • Prepares, logs, and tracks factory orders.
  • Inputs purchase orders in accounting software.
  • Assists the accounting department with inventory cycle counting.
  • New part set up.
  • Responsible for filing documents in the parts department.
  • Assists with processing packing slips.
  • Responsible for invoicing all direct ship orders, extended compressor warranties and any airfreight charges on warranty parts.
  • Pulls claims that have been deleted or closed and post them accordingly.
  • Maintains office supplies and monitor’s inventory.
  • Provides clerical support by preparing reports and correspondence, answering the telephone, scheduling appointments and maintaining files as needed.
  • Flexibility to work overtime/weekends, as required.
  • Demonstrate and promote a spirit of cooperation and teamwork throughout the Company
  • Continually look for ways to improve our processes and ability to serve our customers effectively
  • Improve personal performance on a continual basis
  • Provide responsive, professional and diplomatic customer service
  • Answer customer calls and correspondence quickly and pleasantly
  • Communicate with customers in a friendly, professional, and patient manner
  • Perform all duties with the goal of building and maintaining long-term customer relationships
  • Immediately addresses any customer’s concern and requests the involvement of other Company personnel as required
  • Follow all company safety programs and report any non-compliance to Parts Administrative Supervisor
  • Notify Parts Administrative Supervisor or Safety Manager of any unsafe conditions
