About The Position

Under direction, to perform a variety of highly responsible secretarial duties in support of the assigned City department; to operate point of sale software, receive and distribute correct change, disburse information pertaining to city events and activities, facility operations, and functions in assistance to staff and the public.

Requirements

  • Transport oneself to work punctually.
  • Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.
  • Work under limited supervision within a broad framework of standard policies and procedures.
  • Operate a two-way radio.
  • Monitor patrons around the reception area and enforce building guidelines for patron use.
  • Keep shared workspace clean and well organized.
  • Establish, cultivate, and foster positive and harmonious working relationships with work staff and patrons while maintaining patience, tact, and resourcefulness.
  • Perform related duties and responsibilities as assigned.
  • Entry-level position
  • Possession of or the ability to obtain a current American Red Cross First Aid and CPR Certifications.
  • Ability to sit, stand, walk, kneel, crouch, stoop, squat, twist, lift 50 lbs.; withstand exposure to heat, noise, and other attendant environmental indoor and outdoor conditions; knowledge of related hazardous materials, potentially dangerous chemicals, and blood borne pathogens.

Responsibilities

  • Greeting and engaging in conversation with facility patrons and telephone callers.
  • Performing responsible secretarial and administrative work involving the use of independent judgment and personal initiative.
  • Performing varied and responsible secretarial duties to assist in the processing and completion of administrative operations for assigned staff.
  • Serving as a resource and information source regarding building rules, policies, and procedures.
  • Exercising good judgment, flexibility, creativity, and sensitivity in response to changing situations and patron's needs.
  • Maintaining confidential data and information.
  • Answering questions and provide information where judgment, knowledge and interpretations are utilized, especially in the proper handling of confidential information or files.
  • Resolving complaints or refer the patron to the person who can help them.
  • Performing mathematical computations quickly and accurately.
  • Maintaining account for monies collected and reconciling the till at closing.
  • Communicating clearly and concisely, both orally and in writing.
