About The Position

POSITION OVERVIEW The Part-Time Office Manager is responsible for providing critical, multifaceted support to the HR Team and senior leadership. The Office Manager will have a variety of administrative, human resources, executive leadership, and event coordination duties, and will be entrusted with ensuring the smooth day-to-day operations of the Denver, CO office and providing exceptional support to the executive and HR teams. To find success in this role, the Part-Time Office Manager should be detail-obsessed in order to bring a high level of order and care to our daily operations. This is not a “steppingstone” position; it is a role designed for a career administrative professional who has spent years perfecting the art of taking care of leaders, teams and environments. ESSENTIAL FUNCTIONS Office Management: Oversee the physical office environment with an exacting eye for detail, ensuring everything is in its “right place” and functioning at 100% Manage office logistics, including ordering and stocking supplies, coordinating furniture and space allocation, and maintaining a clean and professional work environment Manage vendor relationships, inventory, and office logistics with a high degree of ownership and precision Manage visitor reception, greeting guests, and directing them appropriately Coordinate travel arrangements and expense reports for the senior leaders Audit existing workflows and implement meticulous organizational systems that others might overlook Gather and sort mail Human Resources: Provide basic HR support to employees, answering questions and resolving minor issues Serve as the quite engine in the office, ensuring the team feels supported and the environment remains professional and hospitable Executive Assistant: Assist in managing the executive team’s calendar, schedule appointments, meetings and travel arrangements as needed Prepare presentations and meeting materials as needed Draft and edit correspondence, including emails, letters, and reports as needed Anticipate the executive team’s needs and proactively provide support Maintain confidentiality and discretion in all matters Event Coordination: Work with Marketing Team to oversee event marketing and promotional activities, event day logistics, event swag, etc. as needed Performs other duties as requested by management

Requirements

  • Minimum of 7 years of experience in an Office Manager or similar role required
  • 5+ years of proven experience prioritizing and executing large-scale projects, while simultaneously streamlining office maintenance tasks required
  • Proven experience working with high-level executives; following through quickly on ad-hoc requests and communicating back to leaders that tasks have been accomplished
  • Ability to creatively problem solve; be the go-to person for “making things happen”
  • Proactively look for ways to improve the office/people operations
  • A proven track record of “managing up” and anticipating the needs of busy executives
  • Passionate about creating an inclusive, safe, and fun work environment
  • Strong organizational and time management skills
  • Excellent communication, interpersonal, and writing skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail and accuracy
  • Professional and discreet demeanor

  • Prior experience working closely with HR is preferred
