About The Position

TEL Staffing is hiring a Part Time Office Manager for a Church in Cantonment, FL. Oversees daily administrative operations, acting as the primary contact for members and visitors while providing clerical support to pastoral staff. Key duties include managing communications (bulletins, newsletters, social media), maintaining member records, coordinating facility usage, and handling basic financial tasks like donations. Also required is high organizational skills, proficiency in Microsoft Office, and familiarity with church management software (Planning Center). This can also be trained. Nature and Scope Direct responsibility for the church secretary/office assistant and delegate such functions as deemed appropriate. Direct responsibility of processing finances (cutting checks, payroll, reports, etc). Ensure adequate record-keeping and minutes for the church, officers, teams, and financial assistant. Act as clearinghouse for all ordering done by the church. Ensure high quality letters, memos, bulletins, announcement pages, etc. Enter events on Planning Center and the church calendar after approval is given. Week of event ensure that thermostats are set. Make as many decisions as possible where policy has been clearly set forth. Contact Clerk of Session, Chairman of Diaconate, or team leaders when in doubt as to a particular action. Briefly update the Pastor on any activities out of the ordinary. Other duties as assigned Human Resources Maintain personnel files and ensure all required State/Federal forms are completed, maintain vacation forms, background checks, retirement forms if applicable, etc. Finances Weekly Post Contributions in Planning Center Process bills each day and fill out a check request and file in expansion folder Monthly Print financial reports after all end of the month business has been completed. Copy to elders, deacons, and pastor. Quarterly - Send a copy of bank statements, reconciliation, to accounting firm each quarter. Yearly Print contribution statements and mail to the contributors by January 31 of each year reflecting the previous year’s giving. Prepare annual statistical reports for Elder/Deacon review for the church to be given to the PCA. Church Management Software (Planning Center) Maintain database. (Membership/Visitors), sync Church Directory data Provide permissions to Planning Center as necessary for teams/staff. Enter church event information as directed by teams/staff.
