About The Position

The Office Administrator, Enterprises, manages the day-to-day administrative duties for The Foundry Enterprises. This part-time position supports the staff of the thrift enterprises and manages special projects and events as requested. The primary responsibilities include serving as Administrative Assistant to the Chief Business Officer, ordering store supplies, processing invoices for payment, creating and updating daily and monthly reports, and invoicing vendors. This position offers a hybrid work schedule between a specific remote location and onsite in Bessemer, Cullman, or Pelham during core business hours, Monday through Friday. The Office Administrator, Enterprises must uphold The Foundry's mission, vision, and core values. The Administrator must be willing to sign The Foundry's Statement of Faith. The Administrator reports directly to the Chief Business Officer and is responsible for upholding the Board of Directors' policies. The responsibilities of the Assistant include, and are not limited to, the duties defined in this responsibility description.

Requirements

  • High School Diploma, High School Equivalency Certificate, or GED.
  • Must be proficient with Microsoft 365 applications, including creating formulas, formatting, and extracting data.
  • Two (2) years minimum experience as an administrative assistant or similar experience.
  • Read and interpret data from reports to assist the Chief Business Officer in creating and analyzing budgets.
  • Self-starter and capable of working with minimum supervision in a hybrid work schedule.
  • Able to work offsite during core business hours Monday through Friday and attend scheduled meetings onsite in Bessemer, Cullman, and Pelham.
  • Create and maintain a professional and productive work environment in a remote location.
  • Engage with Enterprises and Foundry staff collegially during onsite meetings.
  • Strong interpersonal, verbal, and writing skills.
  • Comfortable presenting Enterprises data during one-on-one and team meetings.
  • Servant leader.
  • Quick learner and enjoys the challenge of taking on new assignments.

Responsibilities

  • Serve as subject matter expert within all components of NCR Counterpoint or other POS systems utilized by The Foundry Enterprises.
  • Order departmental supplies as needed.
  • Coordinate, organize, schedule, and attend departmental meetings as requested.
  • Collaborate with Business Administration on invoices and reports.
  • Interact with vendors as needed to ensure order and invoice accuracy.
  • Interact with Assistant Warehouse Managers and General Managers to provide bills for ladings and invoices for recycling.
  • Create and submit invoices to recycling vendors.
  • Update departmental reports as needed.
