About The Position

Salamander Middleburg is seeking a dynamic and detail-oriented Part-Time Human Resources Administrative Assistant to support the daily operations of our Human Resources Department. This role is ideal for a service-driven professional who thrives in a fast-paced luxury environment and understands the importance of accuracy, confidentiality, and warm hospitality. The ideal candidate must have hands-on ADP experience, be bilingual in English and Spanish, and possess a professional, welcoming personality. Experience using Canva to design internal communications and HR materials is strongly preferred. This position plays a key role in supporting recruitment, onboarding, reporting, employee engagement initiatives, and maintaining the exceptional service culture that defines Salamander Middleburg.

Requirements

  • Hands-on experience using ADP (Workforce Now preferred).
  • Bilingual – Fluent in English and Spanish (verbal and written).
  • Experience in Human Resources or administrative support preferred.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to handle confidential information with discretion.
  • High attention to detail and accuracy.
  • Ability to work independently while supporting a collaborative HR team

  • Experience using Canva for flyer and communication design strongly preferred.

Responsibilities

  • Post and manage open positions in ADP, Indeed, and LinkedIn.
  • Close requisitions and communicate with candidates professionally.
  • Maintain new hire tracking, employee files, and I-9 documentation.
  • Set up new employees and process record updates in ADP.
  • Prepare monthly Termination and Active Employee Reports.
  • Coordinate classification reviews and ensure data accuracy in ADP.
  • Maintain strict confidentiality and data integrity.
  • Maintain organized and compliant HR filing systems.
  • Transfer terminated files and upload disciplinary documentation as required.
  • Design HR flyers and internal communications using Canva.
  • Support Core Values, Manager of the Quarter, and employee recognition initiatives.
  • Maintain Birthday/Anniversary communications and HR monitor updates.
  • Welcome and assist Service Professionals visiting the HR office.
  • Answer and direct calls professionally.
  • Assist with HR projects as assigned by the Director of Human Resources.
  • Answer all incoming telephone calls promptly and professionally, providing assistance or directing calls to the appropriate HR team members while maintaining a courteous and helpful tone.
  • Perform other related duties or special projects assigned by the Director of Human Resources.
