About The Position

Duties: The intern sorts City Hall’s incoming daily mail and processes City Hall’s outgoing daily mail. The intern will also provide walk-up (in-person), telephone, mail and online customer assistance on office-related matters, as well as clerical duties such as generating birth, marriage, and death records and processing noncriminal ticket violations and dog licenses, as well as other duties as assigned by the City Clerk. Examples of ongoing projects that the intern will contribute to are scanning and labelling records; and reviewing, sorting, and organizing licensing files, and updating data in the licensing system, Citizenserve. Qualifications: The intern must be able to stand, sort mail into a 5’ x 5’ mailbox, operate a postage machine using a computer touch-screen, and carry processed mail to a point of pick-up. The intern must also be detail-oriented, very accurate, and discreet with confidential information. The intern must be able to operate a Windows-based computer and be comfortable using various software applications. The ideal candidate will have excellent communication skills, both verbally and in writing, customer service skills, and the ability to work in a team setting. Work Environment: The work environment involves everyday discomforts typical of offices, with occasional exposure to outside elements. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant. Physical Skills Little or no physical demands are required to perform the work. Motor Skills Duties are largely mental rather than physical, but the job may occasionally require minimal motor skills for activities such as moving objects, operating a telephone system, computer and/or most other office equipment, typing and/or word processing, filing, and sorting. Visual Skills Visual demands include constantly reading documents and numbers, maps and colors.
