Position Summary: Part-Time Administrative Assistant — Family Office Location: 1885 Saint James PL Suite 1050 Houston TX 77056 Hours: 20–30 hours/week, In-Office About Our Team We are a dynamic family office team committed to excellence in client service and operational support. We seek a dependable, detail-oriented Administrative Assistant to ensure smooth daily operations and assist with key administrative, financial, and client-related functions. Role Summary The Part-Time Administrative Assistant will provide high-quality support across a variety of administrative and operational tasks. This role requires an organized self-starter with strong verbal and written communication skills, technical proficiency, and the ability to manage multiple responsibilities efficiently. The successful candidate will work on-site for 20–30 hours per week during regular business hours.

Requirements

  • Prior experience in administrative, clerical, or office support roles preferred.
  • Proficiency in using Microsoft 365 software; comfort with online systems/portal access.
  • Excellent organizational, communication, and multitasking skills.
  • Professional phone demeanor and customer service orientation.
  • Ability to handle sensitive information with discretion and confidentiality.

Responsibilities

  • Process accounts payable and vendor invoices using Bill.com or other designated platforms.
  • Initiate online payments and assist with vendor communications regarding payments and document retention.
  • Call vendors, tenants, city, IRS etc. as needed.
  • Answer and route phone calls professionally; take and distribute messages.
  • Receive, review, scan, and process incoming mail and correspondence.
  • Prepare, organize, and file documents; manage electronic and physical files.
  • Identify and implement process improvements to increase efficiency and streamline administrative workflows.
  • Assist with new client onboarding activities.
  • Access various client portals to pull statements, tax documents, transaction histories, and circulate to appropriate parties.
  • Maintain client organizational charts in designated software.
  • Confirm tenant payments and assist with simple payment reconciliations in excel.
  • Support tenant communications and coordinate with building management as needed.
  • Deposit checks in office and at banking institutions as required.
  • Complete forms accurately and in a timely manner.
  • Manage document organization and ensure proper storage and retrieval systems.
  • Perform any additional administrative tasks as needed to support the team.
