About The Position

The Parish Ministry Coordinator is responsible for supporting the mission and strategy of College Park Church by providing administrative assistance and coordination to Parish Ministry and the Pastor of Congregational Care & Compassion. This critical role supports Parish Ministry through a unique blend of relational and emotional intelligence while calmly delivering insightful, timely, and detailed task-driven execution. It is both proactive and reactive in nature, thinking several steps ahead while also working with Deacons and Elders to respond quickly to needs that arise. This position sits on the Care & Compassion staff team and reports to the Pastor of Congregational Care & Compassion but also works closely with other members of the staff team.

Requirements

  • Bachelors degree preferred, preferably in a related field
  • Administrative experience preferably in a ministry or not-for-profit setting
  • Proficient in Microsoft Office and other technology. Experience with database maintenance and web-based applications for file sharing, creating forms, and task management would be viewed favorably.
  • Exhibits the ability to think proactively, anticipating things that need to be done well in advance.
  • Ability to prioritize and execute multiple tasks simultaneously
  • Strong organizational, process, and time management skills
  • A servant’s heart with attention to detail while also comfortable speaking into ministry priorities and strategy
  • Well-developed interpersonal skills and able to articulate ideas clearly
  • Communicates in a Christ-like and professional manner in public and private
  • Collaborator with other staff members and ministries to promote the church’s overall mission and health
  • Passionate about the mission, values, and strategy of College Park Church and the essential role of membership and congregational care in the discipleship of believers and witness of the local church

Responsibilities

  • Manage sub-parish assignments in the Shepherding App, ensuring every member is assigned to an elder while also assigning deacons and other pastoral staff to sub-parishes as directed by Parish Ministry Leaders.
  • Assist the Pastor of Congregational Care & Compassion in managing Shepherding App development, testing, access, security, permissions, training, and troubleshooting for elders and deacons.
  • Schedule appointments, manage calendar invites, and take meeting minutes for Parish Leader Committee, focus groups, etc.
  • Coordinate planning the annual parish events calendar. Work with the Resource & Communication Manager to reserve space for parish events.
  • Create parish events in Ministry Platform and manage invitations and registrations.
  • Update CPC website with parish event details.
  • Assist elders and deacons in executing parish events, including the procurement of food and supplies, audio equipment, games, program content, signage, etc.
  • Work with the Events Manager to create and manage processes related to maintaining, storing, and checking out shared CPC and Parish Ministry event materials (tablecloths, centerpieces, games, bottled water, coolers, etc.)
  • Compile and manage parish-related docs & files in basecamp, including Deacon Handbook, Parish Events Playbooks, Event Calendars, training materials, etc.
  • Own the creation and distribution of parish communications, including newsletters, event invitations, reminders, etc. with input from the Pastor of Congregational Care & Compassion. This may include both content compilation (event info, devotions, member milestones, etc.) and content creation (online forms, elder deacon spotlights, service team opportunities, etc.)
  • Compile data and create reports related to household shepherding coverage, parish mapping, member contacts, C.A.R.E. goal dashboard, etc.
  • Assist in the creation and management of Parish expense budgets.
  • Process reimbursement requests for parish ministry expenditures by elders and deacons.
  • Assist in Care & Compassion and Parish Shepherding special projects and events as able.
  • Schedules touch base meetings with Parish ministry leaders on behalf of the Pastor of Congregational Care & Compassion
  • Facilitate collaboration between elder/deacon parish ministry, compassion ministry, and service team volunteers
  • Coordinate the recruitment, development, and deployment of service teams to provide meals, transportation, visitations, and home maintenance help for members
