About The Position

The selected candidate will provide direct support to the principal investigators of the UCSF Memory and Aging Center Community Outreach Program (COP). This individual will be required to perform efficient integration of multiple complex programmatic activities, effectively working with a variety of people and organizations at UCSF (investigators, finance administration, Committee on Human Research - CHR, human resources, contracts and grants) and elsewhere (industry sponsors, coordinating centers, FDA, NIH). This individual will also be part of a leadership team monitoring and resolving key operational aspects of observational studies and outreach and engagement activities in conjunction with local, national, and international project teams and in accordance with standard operating procedures and good clinical practice and regulations. The selected candidate should be comfortable functioning as a team member with various levels of professional, administrative, and technical staff. This individual will analyze and resolve budgetary problems, interpret policies (e.g., fiscal management, HR, contracts and grants, resource management in defined areas) and demonstrate solid subject matter knowledge. They will need to exercise judgment within defined procedures and policies to determine appropriate action, including assuring accountability and stewardship of department resources (operational, financial, and human) in compliance with departmental goals and objectives. In conjunction with the COP principal investigators, this candidate will oversee aspects of the administrative office; interact with university officials, faculty, staff and representatives from outside agencies; assist in the preparation and coordination of Federal and non-federal grant applications from idea inception to initial submission and annual progress reports; and prepare and track purchasing and payment authorizations. They will have input on staffing and project aims management to ensure proper execution of study objectives. Requirements

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Ability to learn and develop understanding of applicable federal, state, local, sponsor and institutional regulations, policies, and guidelines.
  • Ability to learn and develop understanding of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Ability to thrive in a busy, high-volume, and deadline driven work environment that requires coordination of multiple activities and the judgment and flexibility to reprioritize to accommodate emergency requests.
  • Detail oriented.
  • Proficiency working with computer and information management systems (e.g. Ability to perform all commonly applicable functions in word processing and spreadsheet software.)
  • Ability to perform routine financial analysis and reporting.
  • Ability to travel occasionally for project meetings.
  • Organization and communication skills and customer service focus.
  • Demonstrated project management skills.
  • Ability to effectively manage multiple priorities, prioritize projects and meet the demands of a fast-paced and dynamic work environment.
  • Adaptable to quickly changing priorities.

Nice To Haves

  • Project Management Certification (PMP, CAPM, CPM, or similar)
  • Experience with grant application procedures, personnel documentation, contract generation and subcontracting, preferably at UCSF.
