Position Purpose: The Outpatient Scheduling Supervisor monitors the activities of the Outpatient Scheduling representatives, which includes productivity, adequate staff coverage and quality control. The supervisor protects the hospitals financial condition by ensuring all scheduled appointment have the correct insurance information and prior authorization was obtained and placed in the patient account. 

Requirements

  • High School Diploma or Equivalent
  • Two (2) years’ experience in healthcare or related industry
  • Good written and verbal communication skills, demonstrated knowledge of medical terminology, scheduling, coding rules and guidelines, prior authorization, financial counseling, and the ability to interact positively with the public.

Responsibilities

  • Ensures that errors are corrected in the patient information prior to the Patient Financial Services receipt of billing. 
  • Manages the schedules, working with the departments to ensure templates are updated and communicated to staff. 
  • Maintains positive interaction with Physicians as well as other hospital departments to accomplish requirements for accurate referrals, timely scheduling and prior authorization for all scheduled procedures. Alerts the Manager to potential problems. 
  • Assists in the scheduling and prior authorization functions when necessary to maintain department deadlines.
  • Audits patient files: ensures that procedures were scheduled as ordered, eligibility was run and registered with correct insurance, and procedures are prior-authorized.
  • Directs activities related to the outpatient scheduling center. 
  • Assists staff with scheduling, counseling patients on their financial responsibility, and ensuring accounts have prior-authorization. 
  • Alerts Outpatient Scheduling Manager to potential problems as they arise.
  • Supervises outpatient scheduling staff in the absence of a manager; ensures all essential manager functions are completed; ensures the office is adequately staffed, correctly completes time card edits, and keeps the Manager / Director informed of any issues upon his / her return.
  • Consistently demonstrates the ability to assess a situation from a variety of perspectives; considers alternatives and chooses the most appropriate course of action.
  • Assists Manager with QA work, monitors communication with patients regarding their scheduled procedures, ensures positive outcomes, safeguards the public image of the hospital, and assists Manager in evaluation of personnel.
