Requirements

  • High School Diploma or equivalent
  • Minimum of one year Patient Access, data input, medical terminology, transcription, customer service, medical records and/or billing/coding experience
  • Excellent communication skills, data input skills

Responsibilities

  • Answers department phones timely and professionally.
  • Assists customers timely with patient access concerns.
  • Routes calls as appropriate to other staff or location.
  • Must be accountable for the QA for own work.
  • Utilizes all computer programs and procedures to ensure accuracy.
  • Maintains confidentiality and protects sensitive data at all times.
  • Adheres to organizational and department specific safety standards and guidelines.
  • Provides patient with privacy Notice for HIPAA requirements.
  • Obtains appropriate signature and documents accurately in the system as required for compliance.
  • Ensures that all efforts provide value and meets the needs of departmental customers.
  • Answers all inquiries from both internal and external customers in a timely manner.
  • Inquiries are via telephone, email, fax and in person.
  • Always finds a way to be productive during slow times.
  • Displays proficiency in applicable programs.
  • Thoroughly documents activity.
  • Assures that documents are appropriately identified to be scanned into EMR.
  • Accurately completes the admission, registration or pre-registration of a patient presenting for services.
  • Obtains Advanced Directives for Medical Records.
  • Provides patient with written material as required by State and Federal Law.
  • Obtains signatures necessary including but not limited to HIPAA, COA, etc.
  • Properly identifies correct patient and affixes an armband/label for positive identification of patient.
  • Works with physicians’ offices to obtain orders and assists in obtaining authorization.
  • Understands Medicare coding, diagnosis codes, CPT codes to assure proper billing and use of ABN in order to provide as necessary to patient.
  • Accurately completes pre-registration for patient presenting for services.
  • Contacts patient when necessary to obtain any additional information needed to complete pre-registration prior to scheduled services.
  • Contacts patient one business day prior to scheduled service to confirm appointment.
  • Explains to patient any special preparations required for service being performed. 9Pre-registers patient for their procedures as needed and verifies their insurance coverage either online or by phone.
  • Obtains all necessary information from physician’s office to schedule and provide services to the patient.
  • Information needed includes but is not limited to patient chart information, labs and proper reason for exam.
  • Demographic information for patient as well as insurance information must also be obtained.
  • Schedules all procedures for patients in a timely manner and follows office policy.
  • Accurately enters information about each procedure into the scheduling system including any special information about the patient, i.e. allergies, wheelchair, translator etc.
  • Obtains necessary release signatures for any PHI.
  • Assures that documents are appropriately identified prior to being scanned into the patients EMR.
  • Checks in patients, verifies and updates necessary information in the EMR and computer systems.
  • Checks daily billing/coding of outpatient records by creating a daily report from Soarian Analytics.
  • May assist with daily billing and coding of outpatient records.
  • May assist with export of billing charges from radiation oncology EMR to billing system.
  • Ensures accuracy completion and timeliness of billing processes on a daily basis.
  • Responsible for notifying the Director or Manager of errors and omissions.
  • Acts as a liaison/Financial Counselor between patient and SRCC departments obtaining and giving appropriate information to assure payment.
  • Documents all information and action taken maintaining information according to policy.
  • For every new patient referred to the Radiation Oncology department: Maintains Electronic charts for all patients.
  • Performs other needed duties to help facilitate any function of the New Patient Consultations.
  • Assists in case finding and abstracting tasks.
  • Shows willingness, approachability and a team approach to the work environment.
  • Maintains confidentiality and security of patient data.
  • Keeps all filing current.
  • Provides clerical support as assigned, customer service, special reports or studies.
  • Modifies orders in the system and cancels exams appropriately, including documenting reasons in Radiology Information System (RIS).
  • Notifies appropriate personnel upon rescheduling or canceling exam.
  • Checks in patients, verifies and updates necessary information in the medical record.
  • Verifies accurate patient information by checking ID, demographics, insurance and referral.
  • Obtains necessary signatures on release of information for any records.
  • Assures that documents are appropriately identified prior to being scanned into the applicable imaging system.
  • Obtains copies of ordinal films as needed.
  • Chooses and sends appropriate digital images from Synapse to the laser printer or CE burner as necessary.
  • Accurately prepares/complies x-ray reports and/or copies images requested for hospital staff, physicians, patients and outside sources.
  • Complies images for pick up, mail/IPS/Federal Express or courier as requested.
  • Maintains/updates current status log book for records associated with litigation, attorneys workers compensation, court subpoenas, insurance companies, tumor board cases and clinic cases.
  • Pulls old records from archives as necessary to combine with current studies.
  • Assists physicians in obtaining images from Synapse.
  • Prints and faxes reports to physicians offices as needed.
  • May be responsible for reading the report to the physician as necessary.
  • Shows proficiency in the following programs; Soarian scheduling, Synapse PenRad, KDHUB, DM Viewer, RADNET, Millennium and Microsoft Outlook.
  • Answers department phones timely, and professionally.
  • Assists customer timely with Imaging Service concerns.
  • Routes calls as appropriate to staff or location.
  • Ends conversations with “Is there anything else I can do for you?”
  • Alerts personnel of transferred calls explaining who is on the phone and reason for the call so caller does not need to repeat themselves.
  • Communicates ad on exams to specific areas, including patient access, centralized scheduling and front desk.
  • Develops skills necessary to communicate clearly with radiologist, technologist and office staff when needed to help resolve imaging report concerns.
  • Copies and pastes reports from PenRad to Synapse.
  • Knowledgeable in the use of template reports while still checking for accuracy against dictation.
  • Addresses, faxes and mails mammography letters daily.
  • Demonstrates the knowledge and skills necessary to provide care and services appropriate to the population served on the assigned unit or work area.
  • Performs other duties as assigned.
