About The Position

Join Snell & Wilmer, one of the largest and most prestigious law firms in the Western United States, as an OSHA Litigation Legal Administrative Assistant in our Phoenix office . In this role, you will support attorneys handling sophisticated workplace safety and regulatory litigation, playing an integral part in the success of the team. This position provides high-level administrative support to attorneys who represent employers in workplace safety matters, including proceedings before the Occupational Safety and Health Administration (OSHA) and the Mine Safety and Health Administration (MSHA), as well as state agencies and appellate courts. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage urgent, complex matters in a fast-paced environment The hours are Monday through Friday from 8:30 a.m. to 5:00 p.m . in the office .

Requirements

  • At least 5 years of experience as a legal administrative assistant in a litigation or regulatory practice, preferably supporting matters before OSHA/MSHA, or related administrative agencies.
  • Experience supporting federal agency proceedings or complex regulatory litigation strongly preferred.
  • Comprehensive knowledge of Arizona state and federal court procedures, including e-filing; familiarity with OSHA/MSHA administrative procedures is a plus.
  • Proficiency in legal terminology, procedures, and documentation
  • Exceptional proofreading and editing skills, with a keen eye for detail in all written communications.
  • Proficiency in Microsoft Office applications (Excel, Word, OneNote, and Outlook) and experience with document management systems.
  • Demonstrated ability to work independently and within a team, showing reliability and the capacity to juggle multiple tasks effectively.
  • Excellent interpersonal skills to develop and maintain effective working relationships with all levels of staff and clients.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • High level of discretion and confidentiality.

Responsibilities

  • Manage and maintain complex attorney calendars, including arranging meetings, appointments, depositions, and travel.
  • Prepare and edit correspondence, reports, and presentations.
  • Assist attorneys with case preparation, including organizing and maintaining case files, evidence, and exhibits.
  • Coordinate with clients, witnesses, and experts to arrange interviews, depositions, and other case-related activities.
  • Track and manage critical statutory and regulatory deadlines, including citation contest periods and administrative appeal deadlines.
  • Organize and maintain case files involving investigations, enforcement actions, criminal matters, and compliance counseling.
  • Draft, proofread, and finalize legal documents such as pleadings, motions, discovery requests, and trial briefs.
  • Prepare and file documents with OSHA, MSHA, OSHRC, state agencies, and state and federal courts, ensuring compliance with procedural and e-filing requirements.
  • Maintain and update case files, ensuring all documentation is accurately filed and easily accessible.
  • Serve as a liaison between attorneys, clients, agency representatives, opposing counsel, and court personnel.
  • Manage time-sensitive correspondence related to regulatory investigations and enforcement matters.
  • Prepare and distribute correspondence, memoranda, and reports.
  • Prepare and ensure timely filing of legal documents with the court.
  • Monitor and track deadlines to ensure compliance with court rules and procedures.
