Position Overview and Responsibilities: Serve as the liaison between the FWRI Contracts Office, contractors, FWC headquarters offices, and FWRI section staff/contract managers for the pre-contract phase. Consult, advise, and assist FWRI section staff/contract managers with the precontract phase, compilation of contract forms, and uploading contract packets to the contract portal site. Review contract packets for accuracy and completeness to ensure compliance with state and federal rules and regulations. FWRI contracts office staff in preparation of all contract/amendment packets; ensure and review all contract documents for accuracy and routing; consult with and advise staff on changes and corrections to documents as needed; monitor the contract routing process; and ensure compliance and proper processing from proposal to close-out. Advise staff of procedures for proper invoicing and reporting requirements.  Review and process invoices for compliance with Comptroller rules.  Monitor and assist staff with report due dates and contract expiration dates. Stay up-to-date and review contracts for compliance with state and federal rules and regulations.  Work closely with FWRI Grants and Purchasing Managers. Ensure FWRI’s portal site is up-to-date and accurate. As needed, provide training and instruction to FWRI staff regarding contract program management. Maintain an accurate FWRI Contract list. Evaluate impact, identify problems, and recommend appropriate action regarding contract practices and procedures.  Notify the supervisor of any appropriate issues with the contract process as they arise. Perform other work as required.  Participate in public outreach efforts, as appropriate.

Requirements

  • Three (3) years of professional experience in contracts or an administrative support position. An associate's degree from an accredited college or university can substitute for two years of administrative experience.
  • One year (1) employment experience working in a professional office environment performing administrative or clerical functions
  • Computer proficiency including Microsoft Office Word, Excel, and Outlook.
  • Employment in this position is contingent upon a satisfactory Level 1 background check at no cost to the candidate.
  • Responses to qualifying questions should be verifiable by skills and/or experience stated on the profile application/resume.
  • Information must be provided regarding any gaps in employment.
  • Knowledge of Microsoft Office Word, Excel, Outlook, and Adobe Pro
  • Possess good customer service, telephone, and clerical skills

  • Ability to work independently and possess a strong organizational skills.
  • Ability and desire to work in an extremely fast-paced, team environment.
