About The Position

Busy Ophthamology Practice is in need of a clinic lead. The Ophthalmic Clinic Lead (CL) will serve as the primary technician overseeing operations across three locations: Chicago, Elgin, and Lombard. The CL's main responsibility is to ensure optimal staffing levels daily, enabling efficient patient care. All staff members must be comprehensively trained in patient intake procedures, documentation, and diagnostic testing. A structured training program will be developed by CL to facilitate ongoing education for current team members and to support the recruitment and onboarding of new personnel in the future. The CL will collaborate closely with the doctors in an administrative capacity, assisting with policy implementation, adherence to schedule templates, and coordination with the Front Desk Lead to synchronize clinic and front desk staffing schedules. Additionally, the CL will oversee administrative duties such as maintaining MIPS certification and ensuring diagnostic equipment remains in optimal working condition. The CL will also work with the Optometric Team to ensure their clinics are fully functioning with supplies and team support. This role is designed to evolve, with increased responsibilities aligned with the clinic’s growth and the addition of new providers. The CL will play a vital role in supporting operational efficiency, staff development, and quality assurance, contributing to the clinic’s long-term success and expansion.

Requirements

  • Certified Ophthalmic Technician
  • Minimum 2 years of Ophthalmic Clinical Experience
  • Leadership/Clinic lead experience
  • MUST BE ABLE TO TRAVEL TO ALL 3 OFFICE LOCATIONS (This is non-negotiable, please do not apply if you cannot do this)
  • Worked on Nextech
  • Understands MIPS/MACRA documentation
  • Lasik Experience

Responsibilities

  • Supervise operational activities within the clinic, ensuring smooth workflow and staff training in clinical procedures.
  • Primary role during clinic hours will be to work up patients in the clinic with doctor and follow his schedule to the three offices.
  • Assist in managing the Lasik program, coordinating procedures and patient flow.
  • Coordinate scheduling across multiple clinic locations to optimize resource utilization.
  • Oversee inventory management, ensuring exam rooms are properly stocked, supplies are ordered timely, and cleanliness standards are maintained.
  • Facilitate equipment maintenance, repairs, and updates to minimize downtime and ensure operational efficiency.
  • Manage electronic health record (EHR) updates, troubleshoot issues, and liaise with the EHR vendor to ensure seamless clinical documentation.
  • Ensure all clinical documentation is complete and that daily tasks are accomplished by staff.
  • Monitor patient communication channels, ensuring inquiries and prescriptions are addressed promptly.
  • Maintain daily cleanliness and organization of exam lanes, diagnostic areas, and back-office spaces.
  • Meet weekly with practice administrator to review compliance issues, including documentation for MIPS and MACRA programs.
  • Act as the primary contact for referring optometrists and primary care physicians, ensuring effective communication and relationship management.
  • Work alongside clinical staff, providing training where needed.
  • Assist in onboarding new clinical staff members, providing necessary training and orientation.
  • Support MD and ODs with clinical issues, escalate concerns to management, and address patient complaints to resolve issues efficiently.
