About The Position

The Inventory & Facilities Specialist is responsible for establishing, managing, and maintaining company-wide inventory systems while overseeing day-to-day facilities operations. This role will play a critical part in implementing inventory controls within Labguru, optimizing storage and stocking strategies, and ensuring accurate inventory consumption across all departments. The position will also manage facilities vendors and contractors and perform basic handyman and maintenance tasks as needed. This role works cross-functionally with all teams and close partners with the Director of Finance & Operations to ensure efficient operations, cost control, and a safe, well-maintained facility.

Requirements

  • Bachelor’s degree in biology preferred.
  • Experience in inventory management, operations, facilities, or supply chain (laboratory or manufacturing environment preferred).
  • Hands-on experience implementing or managing inventory systems (Labguru experience a plus).
  • Strong organizational and analytical skills with attention to detail.
  • Ability to train employees and enforce standardized processes
  • Comfortable working cross-functionally with scientific, operations, and administrative teams.
  • Basic handyman skills and familiarity with common facility maintenance tasks.
  • Strong vendor management and communication skills.
  • Ability to work independently and manage multiple priorities.
  • Strong proficiency with Microsoft Office Suite (Excel, Outlook, and Word) applications preferred.
  • Ability to lift and move inventory and equipment as needed.
  • Regular on-site presence required.
  • Hands-on role requiring time spent in storage areas, labs, and facility spaces.

Responsibilities

  • Lead the implementation and setup of inventory tracking within Labguru, including initial inventory build-out.
  • Work directly with each department to evaluate current inventory storage, ordering practices, and usage workflows.
  • Establish standardized inventory processes, including receiving, labeling, storage, and consumption.
  • Train all employees on proper inventory consumption and tracking procedures within Labguru.
  • Perform routine and periodic physical inventory counts and reconciliations.
  • Set and maintain reorder points, safety stock levels, and minimum/maximum inventory thresholds.
  • Monitor inventory accuracy and ensure compliance with internal procedures.
  • Analyze inventory usage, spending patterns, and demand trends.
  • Partner with the Director of Finance & Operations to determine optimal stocking levels based on production and R&D demand.
  • Identify opportunities to reduce waste, prevent stockouts, and improve cost efficiency.
  • Support forecasting and budgeting efforts related to inventory and supplies.
  • Collaborate with leadership to design and allocate dedicated storage spaces for Production materials and R&D materials.
  • Ensure inventory storage areas are organized, labeled, and compliant with safety and operational standards.
  • Oversee facilities operations, including coordination with vendors, service providers, and contractors.
  • Schedule and manage routine maintenance, repairs, and inspections.
  • Serve as the primary point of contact for facilities-related issues across departments.
  • Ensure facilities are maintained in a safe, functional, and professional condition.
  • Perform basic handyman and maintenance tasks (e.g., minor repairs, equipment setup, furniture moves).
  • Troubleshoot common facility issues and escalate when specialized services are required.
  • Support general operational needs related to facilities and infrastructure.
