About The Position

The Operations Supervisor is responsible for overseeing the daily operations of the ophthalmology practice, ensuring exceptional patient care, efficient workflows, and strong team leadership. This role supports clinical operations, front desk management, and overall staff coordination. The Operations Supervisor serves as a key link between clinical staff, administrative teams, and the Practice Manager to maintain a culture of excellence, compliance, and service quality. This position actively collaborates with the management team to recruit clinical applicants and train new employees, as well as, review and update workflows and policies as necessary to execute changes effectively, per the direction of the physicians and senior management.

Requirements

  • College degree; or combination education / experience COA, COT or COMT certification required
  • Minimum 3-5 years of experience in ophthalmology or related eye care setting and supervisory or management experience required.
  • Strong understanding of clinical workflows, EMR systems, ophthalmology-specific terminology, coding, billing and insurance knowledge.
  • Demonstrated ability to lead and motivate diverse teams in a fast-paced environment.
  • Excellent organizational, interpersonal, and communication skills.
  • Proven ability to balance operational efficiency with quality patient care.

Responsibilities

  • Work with Clinical Supervisors to Oversee daily clinical operations to ensure smooth patient flow, appropriate staffing, and adherence to established protocols.
  • Monitor and improve operational efficiency in exam rooms, testing areas, and surgical scheduling.
  • Collaborate with Clinical Supervisors, physicians and clinical staff to optimize patient care and support clinical quality initiatives.
  • Ensure compliance with all regulatory and accreditation standards, including OSHA, HIPAA, and infection control policies.
  • Supervise and mentor clinical and administrative team members, fostering a supportive and collaborative environment.
  • Conduct regular staff meetings, performance evaluations, and training sessions to promote professional growth and accountability.
  • Partner with the Practice Manager to identify staffing needs, assist with recruitment, onboarding, and retention strategies.
  • Promote a culture of continuous improvement and patient-centered care.
  • Oversee front desk operations including scheduling, insurance verification, collections and check-in/out procedures.
  • Ensure front office staff deliver excellent customer service and maintain accuracy in data entry and billing information.
  • Assist in managing patient flow, appointment optimization, and communication between departments.
  • Collaborate with billing and administrative teams to resolve operational issues and streamline workflows.
  • Serve as the first-line leader for operational challenges and staff concerns.
  • Work closely with the Practice Manager to implement strategic and operational initiatives.
  • Analyze performance metrics (e.g., patient volume, wait times, satisfaction) and recommend process improvements.
  • Support the Practice Manager with policy development, compliance audits, and budgetary oversight.
