About The Position

The Operations Supervisor is responsible for providing Maintenance support to the Civic Building, Community Center and Parks & Facilities building operations to include minor maintenance and repairs, invoice collections, processing and coding, building security features, and custodial service oversight. The Operations Supervisor will also be responsible for building services related to the reporting, scheduling and oversight of maintenance needs and repairs, managing building assets, alarm system and access, building service contracts, and reserve project coordination. The position must provide the highest levels of customer service and support to residents, guests and colleagues. Duties will vary depending on the needs of the department. ESSENTIAL DUTIES Maintenance Tasks: Well versed in basic tasks associated with maintaining building systems- changing bulbs, inspecting and changing filters, cleaning and maintaining equipment, etc. Skilled at Repairs in basic plumbing fixtures such as drains, faucets, showerheads, piping and landscaping irrigation components Performs minor renovation work involving plumbing, HVAC, carpentry and painting Well versed in the use of Limble Asset Management software. Serve as main point of contact to report facility maintenance needs or repairs; follow up on work orders for timely completion as necessary. Administrative Tasks Well versed in the use & process of alarm.com software, response to alarm calls, alarm servicing and repairs, testing and contract oversight. Well versed in the use and process of electronic door locking software, issuing fobs and passcodes, and coordinate the daily/weekly/monthly changes in the schedule. Responsible for routine use, program schedules, adjustments and oversight of Venstar or other programmable thermostat units; overall climate control devices for all buildings Proficient use of PSS surveillance system; playback and search for features for “incidents”, respond to requests for searches with supervisor approval first. Conduct routine building walk-throughs to identify issues and report as needed. Serve as contract administrator for the janitorial service contract; work in partnership with the vendor to ensure quality of work, appropriate scheduling, routine communications and satisfied customers. Responsible for managing the coordination of specific reserve study projects, using project management tool for accountability. Acts as a liaison with reserve projects which can include the tracking of RFPs and obtaining bids Proficient user of the Civic Rec software and can competently answer any questions regarding how to do various functions Supervises utility clerk staff member including task assignments and completion of tasks Responsible for the accurate coding and timely submission of all building related invoices; assist with other invoice processing as needed Adherence to ACC policies, procedures, and established employee values—“The Anthem Way.” Maintains a high level of confidentiality in all matters Collaborates with other departments to ensure positive public relations Assists in the annual budgeting process for Community Center and Civic building needs, and aids in tracking budgeted items as needed Possesses a high level of accuracy on all work products Aids in the execution of emergency action plans in event of an emergency and fire drills for all three facilities. Regular, dependable attendance and punctuality are an essential function of this position Other duties as assigned by supervisor.

Requirements

  • High School diploma or equivalent with a minimum of 5 years progressive administrative experience
  • A valid driver license and clean driving record is required.
  • Proficient with word, excel, outlook and PowerPoint
  • Possesses knowledge of Civic Rec software or the skills to become a master user of the system within 3 to 6 months
  • Supervisory experience required
  • Must be capable of working hours to include evenings, weekends, or holidays or when working Anthem signature events as necessary
  • Must have aptitude for detail, highly effective interpersonal and problem-solving skills.
  • Excellent communication and customer service skills; adherence to ACC company values (Anthem Way) are also required
  • Ability to maintain effective working relationships with individuals and groups encountered in fulfilling job requirements
  • Self-disciplined, self-motivated and able to work both independently and in a team environment
  • Knowledge of Standard First Aid, CPR and Bloodborne pathogens recommended within 90 days
  • Must be physically and intellectually capable of operating a personal computer, printer, facsimile machine, phone, and various other routine business equipment items
  • Ability to see well enough to read faint or partially obscured writing or printing
  • Must be able to speak, read and write English so that various types of communication may be conducted with people of various levels of education and capabilities both in person and over the phone
  • Perform physical activities (possibly for extended periods of time) that require considerable use of your arms and legs and moving your whole body, with a full range of motions including walking, sitting, standing, stooping, kneeling, reaching, pushing, pulling, twisting, bending, lifting, and carrying
  • Position requires ability to exert minimal force of up to 20 pounds and occasionally up to 60 pounds of force to move or lift objects
  • Must be able to transport oneself not only around the office but around the community facilities and grounds.
  • Must be able to work efficiently, timely, and quickly on more than one assignment at a time with frequent interruptions, changes, and delays
  • Must remain alert to working conditions and aware of safety, health, and environmental concerns
  • Must be able to work effectively with positive attitude and demeanor in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties
  • Personal protective equipment (PPEs) to include proper footwear, headgear, and maintenance attire should be worn for protection as appropriate.
  • When outside, the employee may be in the vicinity of site-specific vegetation and native species of reptiles and mammals, subjecting the employee to possible injury from contact or bites
  • Must wear appropriate uniform (shirt/blouse) and dress in a manner representative of the ACC as directed by the CEO or designate
