About The Position

We are seeking a proactive Operations Specialist to support the day-to-day workplace operations of our Arlington, VA office. This role is essential to maintaining an organized, welcoming, and highly functional environment for employees and visiting customers. The Operations Specialist ensures the office runs smoothly behind the scenes — from stocking kitchens to setting up customer meetings to supporting new hire set-up— and plays a key role in delivering a polished in-office experience. In order to do this job well, candidates must be highly dependable, detail-oriented, and comfortable managing a wide range of hands-on tasks. The ideal candidate takes pride in being helpful, anticipates needs before they arise, and thrives in a fast-paced environment where no two days look the same. This role is a full-time position located in Arlington, VA.

Requirements

  • U.S. Citizenship is required
  • 2–5 years of professional experience in office support, workplace operations, hospitality, facilities coordination, or a similar role
  • Ability to troubleshoot and resolve common workplace IT and A/V issues, including printers, monitors, and conference room technology
  • Associate’s or Bachelor’s degree required
  • Strong organizational skills with excellent attention to detail and follow-through
  • Comfortable with hands-on tasks, including lifting packages, stocking supplies, and setting up meeting spaces
  • Strong interpersonal and communication skills with a friendly, professional, and service-focused approach
  • Ability to manage multiple small tasks while maintaining awareness of larger priorities
  • Proficiency with common workplace tools such as Google Workspace, Slack, and online ordering/vendor platforms

Responsibilities

  • Maintain daily office operations, including but not limited to helping to stock the Cafe, restocking supplies throughout the space, managing grocery and beverage orders, and ensuring common areas and conference rooms are clean, organized, and fully functional
  • Ability to support new hire workstation setups and onboarding logistics, including preparing desk equipment, coordinating building access, assembling welcome materials, managing swag and supplies, and shipping materials to remote employees
  • Support internal team and customer meetings by setting up conference rooms, coordinating A/V needs, arranging catering when required, and ensuring a professional and seamless visitor experience
  • Coordinate recurring office catering programs, including catered meals, ensuring timely ordering, delivery, setup, and cleanup
  • Provide light on-site IT support for day-to-day office needs, including troubleshooting and coordinating resolution for monitor or printer issues and other basic workplace technology problems
  • Receive, sort, and distribute mail, packages, and office deliveries
  • Manage supply inventory and place orders with vendors as needed
  • Coordinate with Director of Operations, building management, and service providers for maintenance requests, vendor visits, and general facilities support
  • Support logistics for in-office events, team gatherings, and special operational projects as assigned
