About The Position

ESSENTIAL FUNCTIONS: Supports the team in delivering high-quality client experiences o Assists with client inquiries under supervision, providing prompt and professional service. o Help prepare materials for client meetings, including gathering account information. o Supports representatives in maintaining client relationships through timely follow-up and communication, under guidance from senior team members. o Escalates any complex or unusual client issues to a Level II/III specialist or advisor. Assists with client onboarding, account maintenance, and operational processes o Prepares, processes, and tracks new account paperwork and investment applications under supervision. o Monitors pending business and follows up with clients, custodians, product sponsors, compliance, or operations staff as instructed to ensure timely completion. o Keeps advisors informed about the status of applications, transfers, and other pending items with guidance. o Assists with account maintenance requests such as beneficiary changes, transfers, withdrawals, and address updates. o Maintains accurate client records and documentation in accordance with firm policies and regulatory requirements. o Uploads documents and maintain organized client files within the firm’s systems. REQUIRED SKILLS/ABILITIES: Excellent verbal and written communication skills. Strong organizational skills with exceptional attention to detail. Effective time management skills with the ability to manage multiple priorities and meet deadlines. Strong analytical and problem-solving abilities. Ability to work both independently and collaboratively in a team environment. High level of professionalism and discretion when handling confidential information. Proficiency in Microsoft Office Suite or related software. Strong interpersonal skills with the ability to build trust and rapport with clients and internal stakeholders. SUPERVISORY RESPONSIBLITIES: This position does not supervise employees. EDUCATION AND EXPERINCE: High school diploma or equivalent required; Associate’s or bachelor’s degree in finance, business, or related field preferred. 3–5 years of experience in financial services, operations, or administrative support required. Basic knowledge of financial forms or client account documentation preferred. Willingness to pursue FINRA licenses or insurance designations preferred. PHYSICAL QUALIFICATIONS: Ability to concentrate and perform responsibilities by maintaining a constant state of focus and mental alertness. Ability to lift up to 25 pounds. Ability to communicate in person, through email or via telephone with customers and staff members. Ability to sit or stand for an extended period. Specific vision abilities required by this job may include close vision and the ability to adjust focus.
