About The Position

Lumion is a leader in innovative tuition solutions, providing advanced software and comprehensive servicing for educational institutions and students. Our mission is to empower trade and technical schools to offer the most trusted operational software and services, enhancing enrollment and giving students access to life-changing education. We are obsessed with training the next generation of skilled tradespeople by supporting the career development of students in high-impact professions. We serve industries from healthcare and skilled construction to transportation, culinary arts, and cosmetology. Lumion is funded by top-tier venture firms, including but not limited to TTV Capital and Tusk Ventures. Are you the person in your friend group who organizes the trips, builds the spreadsheets, and finds a way to automate boring tasks using AI? We are a fast-growing startup looking for a brilliant, high-energy, highly organized Operations Manager to help run and scale the internal systems that power Lumion. This is not a sit-and-wait role. You will be the backbone of daily execution, responsible for ensuring our systems run smoothly and for finding new ways to use technology, especially AI and automation, to make the team dramatically more efficient. This role is ideal for someone who is smart, scrappy, detail-obsessed, and excited to take real ownership. You will work closely with leadership and cross-functional teams to bring structure to complexity, fix broken processes, and build scalable ways of working. Expect a highly talented, driven, intense, and bold team.

Requirements

  • Extremely detail-oriented. You notice errors, inconsistencies, and gaps before anyone else does
  • Tech-native and systems-minded. You are comfortable learning and managing new tools quickly
  • Strong written and verbal communicator who can bring clarity to complexity
  • High-agency and proactive. You do not wait to be told what to do and bring solutions, not just problems
  • Smart and scrappy. You may be early in your career, but you learn fast and execute even faster
  • Excited about AI, automation, and using technology to work smarter, not harder
  • Comfortable with a “no task too small” mindset in a fast-paced startup environment

Nice To Haves

  • 2-3 years of experience in operations, project management, or a high-growth startup environment
  • Experience with tools such as Notion, Aircall, HubSpot, Zapier, Zendesk, Slack, or similar platforms

  • Background in business, operations, finance, or technology

Responsibilities

  • Own, maintain, and optimize Lumion’s internal tech stack, project management tools, and internal dashboards
  • Identify broken or inefficient processes and design better, scalable solutions
  • Ensure systems are clean, organized, and reliable so nothing falls through the cracks
  • Actively research, test, and implement AI tools, and automation to streamline repetitive tasks and improve team output
  • Partner with teams to embed AI-driven workflows into daily operations
  • Continuously look for opportunities to make Lumion operate 10x more efficiently
  • Turn “how we do things” into clear, repeatable SOPs and internal playbooks
  • Maintain up-to-date documentation that enables consistency and scale
  • Bring clarity and structure to ambiguous or undefined workflows
  • Coordinate cross-functional projects and ensure deadlines and deliverables are met
  • Act as the guardian of the calendar and master of the to-do list
  • Track progress, surface risks early, and communicate clearly with stakeholders
  • Track operational KPIs and performance metrics
  • Create clear, organized reports and insights for leadership
  • Use data to identify bottlenecks and recommend improvements
