About The Position

Since our founding in 2020, FWF has grown as an organization while maintaining a start-up mentality in our operations. As such, FWF seeks to staff the team quickly and thoughtfully. The Families and Workers Fund (FWF) is a platform for collaborative action and a pooled $135 million fund supported by 20 diverse funders working together to end poverty in the U.S. FWF deploys strategic grants, targeted programs, community engagement, and partnerships toward three longer-term impact goals: 21st Century Benefits, Recover Up, and Activate Philanthropy. The Families and Workers Fund (FWF) seeks an Operations Manager to join our team. This role is part of our Operations/Program Team and reports to the Managing Director of Operations. Key responsibilities include strategic ownership of operating procedures and grant lifecycles, implementing and maintaining up-to-date accounting and financial software, management of contracts and honoraria, and coordination of internal and external events. This individual will be collaborative and proactive, with a desire to design and implement processes in support of FWF’s strategic priorities and fundraising goals. The Operations Manager will oversee core systems for our overall organizational operations with a focus on grantee relationships and coordination; budgets, contracts and payment administration; and project and event management. The ideal candidate will be expected to balance execution with strategic ownership and demonstrate both a deep commitment to equity and the desire to proactively contribute to updating our systems and processes.

Requirements

  • At least 5 to 7 years of experience in operations, nonprofit management, grant administration, finance, or a related field, with increasing levels of responsibility.
  • Experience with data management, budgets, financial processes, and/or forecasting, with a demonstrated ability to design and improve systems.
  • Excellent organizational skills. Flexible and able to multitask, with demonstrated resourcefulness in setting priorities across competing demands.
  • Strong communication (listening, verbal, and written) and relationship-building skills.
  • Ability to take initiative, think strategically, and work collaboratively with grantees, FWF staff, and external partners.
  • Dedication to collaborative ways of working in alignment with FWF culture and norms.
  • Comfort working in a startup environment with many competing priorities and deadlines.
  • Brings an intellectual curiosity to work, enjoying learning new things and engaging as a thought partner when needed.
  • Values and seeks to advance diversity, equity, and inclusion in the workplace.
  • Proficiency in Excel and Word and/or Google Workspace. Comfort learning and utilizing new technology that may help the team better administer or streamline our work. Knowledge of Google Apps, SurveyMonkey, and virtual meeting tools.
  • Must be available to work U.S. Eastern Time Zone 9 am ET to 5 pm ET.
  • Must have regular and dependable internet access.

Responsibilities

  • Lead implementation and ongoing management of financial, operational, and project management systems.
  • Manage contracts and honoraria administration end-to-end, including advising on contract terms, maintaining budgets, and coordinating submission of documentation.
  • Manage and optimize core technology platforms (e.g., Google Workspace, Zoom, Airtable, survey and form tools).
  • Develop, implement, and maintain standard operating procedures and workflows across operations, identifying inefficiencies and proactively recommending improvements.
  • Contribute to operational strategy through data analysis, process evaluation, and recommendations to leadership.
  • Lead planning and execution of internal and external events (e.g., Board meetings, retreats), including setting objectives, developing agendas, managing logistics, and ensuring follow-through on action items, in close collaboration with the Managing Director of Operations.
  • Oversee donor reporting operations, including tracking key deadlines and proactively identifying risks and solutions to improve systems for tracking and compliance.
  • Lead key functions of the finance workstream, including budget tracking, payment processing, financial reporting, and accounting software management.
  • Develop quarterly forecasts and budget planning in close partnership with the Managing Director of Operations.
  • Own and manage the full grant lifecycle in close collaboration and communication with Program and Operations Teams.
  • Ensure smooth grant processing, including overseeing grantee communications, intake, submission to fiscal sponsor, payment processing and reconciliation.
  • Manage relationships and coordination with fiscal sponsor, grantees, and other external partners.
  • Analyze grantmaking data and draft deliverables to identify trends, inform reporting, and support strategic decision-making.
