About The Position

The Agency for Persons with Disabilities (APD) partners with local communities to support individuals with developmental disabilities in living, learning, and working within their communities. APD provides essential services and support to help customers with developmental disabilities reach their full potential. The Agency serves individuals with conditions such as spina bifida, autism, Down syndrome, cerebral palsy, Prader-Willi syndrome, Phelan-McDermid syndrome, intellectual disabilities, and children ages 3-5 at high risk of developmental disabilities. All services provided through the Agency are free of charge. This position is located at APD’s Tacachale facility in Gainesville, FL, and is part of a team dedicated to impacting the lives of developmentally disabled adults.

Requirements

  • Must be willing to perform essential services before, during, and after an emergency.
  • Must be willing to work beyond the normal work schedule to maintain minimum coverage levels and meet the needs of the Agency.
  • Must have an associate degree from an accredited college or university with a major in healthcare science or related field.
  • Must have one (1) year of experience in a healthcare setting.
  • Must have one (1) year of supervisory experience.
  • Knowledge of the procedures for securing, preserving, retrieving, and controlling the distribution of medical records.
  • Knowledge of medical terminology, health information processes, and documentation standards.
  • Knowledge of policies and practices involved in the management of assigned personnel and demonstrated ability to supervise, motivate, develop, train and direct people.
  • Knowledge of management of personnel resources.
  • Knowledge of staffing patterns and scheduling.
  • Knowledge of basic office procedures and practices.
  • Skill in the use of MS Office Suite software including Word, Outlook and Excel.
  • Skill in managing /coordinating multiple high-priority assignments.
  • Skill in communicating effectively orally and in writing.
  • Skill in applying the principles and best practices of supervision and management.
  • Ability to work as a team member and maintain effective working relationships.
  • Ability to manage departmental operations and support staff performance.
  • Ability to supervise the work of others.
  • Ability to determine work priorities, assign work, and ensure proper completion of work assignments.
  • Ability to utilize problem-solving techniques.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.

Nice To Haves

  • Experience with ICD-10 coding and medical terminology.
  • Experience with electronic health record (EHR) systems.

Responsibilities

  • Communicate with, motivate, train, and evaluate employees.
  • Plan and direct employees’ work.
  • Have the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action.
  • Be responsible for medical record/health information services.
  • Maintain a records system in accordance with accepted professional standards, state licensing, and federal rules and regulations.
  • Oversee and coordinate the daily activities and work products of various staff members who maintain active clinical records, as well as organize storage files and archived documents.
  • Manage off-campus medical appointments for all residents, including referral processing, scheduling, emailing, and assembling necessary documents.
  • Update the database by generating reports and uploading schedules.
  • Coordinate the transportation of residents to medical appointments.
  • Perform review and revision of yearly medical exams (YME) and medical care plans (MCP).
  • Maintain tracking systems for record retrieval, deficiencies, and completion.
  • Review medical bills from off-campus providers and provide ICD-10 codes to support accurate billing and reimbursement.
  • Facilitate Clinics from outside providers (e.g., Eye and Podiatry) by scheduling, recording patient data, and communicating updates to appropriate staff.
  • Act as a key liaison between Tacachale and the University of Florida Health (UFH).
  • Serve as a member of the Executive Council and other committees as requested.
  • Perform other related duties as assigned to support the smooth operation of the departments.
  • Adapt to changing needs and act as a liaison between departments, agencies, and external professionals to ensure seamless coordination of services.
  • Perform other related duties as required.
