About The Position

Frank & Eileen is seeking an Operations & Facilities Manager to join our Branded Environments team which oversees all physical manifestations of our brand. At Frank & Eileen, the spaces we work in, welcome customers into, and gather together in matter. The Operations & Facilities Manager plays a key role in making sure those spaces—our retail stores, concessions and shop-in-shops, corporate offices, showrooms, and residential properties —are thoughtfully cared for, beautifully maintained, and ready to support our teams and community every day. This role is responsible for the day-to-day operations and facilities management of all locations once they are open and in use. Partnering closely with leadership and cross-functional teams, this role owns ongoing operational management and operating expenses (OPEX), and works hand-in-hand with Design & Build counterparts to ensure a smooth transition from project completion into daily care and stewardship. We’re looking for someone who is hands-on, highly organized, solutions-oriented, and comfortable operating across a range of environments with calm confidence and care. This position is hybrid, based in Frank & Eileen’s Los Angeles, CA offices with travel to project sites. This role will report directly to the Head of Branded Environments.

Requirements

  • Passionate about Frank & Eileen, our mission, and fashion.
  • 5+ years of experience in operations, facilities, or office management
  • Demonstrated experience managing operating expenses
  • Familiarity partnering with design, construction, or real estate teams
  • Familiar and comfortable utilizing AirTable, Slack, Google Docs and Google Calendar.
  • Highly organized, detail-oriented, and proactive
  • Calm, professional, and service-minded, always solutions oriented.
  • Comfortable working independently and cross-functionally
  • A self-starter that takes a proactive approach to starting and finishing tasks.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to prioritize effectively in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Responsibilities

  • Oversee day-to-day facilities operations across all Frank & Eileen locations
  • Ensure spaces are safe, functional, well-maintained, and reflective of our brand values
  • Manage maintenance, repairs, cleaning, security, utilities, and building services
  • Implement and maintain preventative maintenance programs
  • Conduct regular site visits to proactively identify needs and opportunities for improvement
  • Support the operational needs of retail stores, concessions and shop-in-shops, offices, showrooms, and brand residential houses
  • Serve as the primary point of contact for facilities-related matters once locations are operational
  • Coordinate timely, thoughtful resolution of issues to minimize disruption and maintain a high standard of care
  • Manage operating expense budgets across all physical locations
  • Track expenses and ensure spend aligns with approved budgets
  • Partner with Finance on budgeting, forecasting, and reporting
  • Review invoices and manage approvals with accuracy and accountability
  • Identify opportunities to operate more efficiently while maintaining quality and experience
  • Build and manage strong relationships with facilities and service vendors
  • Negotiate service agreements and ensure work is completed to standard
  • Track contracts, renewals, and ongoing performance
  • Coordinate vendors for routine services and urgent needs as they arise
  • Ensure compliance with applicable regulations, building codes, and safety standards
  • Support security systems, access control, and emergency preparedness
  • Maintain incident documentation and support issue resolution as needed
  • Collaborate closely with the Design & Build team during planning and execution phases
  • Provide operational input to support long-term functionality, durability, and ease of care
  • Participate in pre-opening walkthroughs and readiness reviews
  • Lead the transition of newly completed spaces into day-to-day operations and maintenance
  • Own the creation and communication of facilities related SOPs for each environment
  • Support facilities operations for brand residential houses and select executive-supported properties
  • Support shipping, receiving, and storage needs on a project basis only, including store openings, relocations, office moves, showroom installs, and special brand initiatives
  • Coordinate delivery schedules, building access, and site logistics with landlords, vendors, and internal partners
  • Track project-related logistics costs as part of operating expenses
