About The Position

The Operations Coordinator is a key driver in optimizing day-to-day operations, focusing on field operations, asset management, warehouse coordination, and facility maintenance. This position is responsible for coordinating disaster response, developing and implementing standardized procedures, and ensuring resource efficiency.

Requirements

  • Proven ability to document core processes and train others, including volunteers.
  • Demonstrated proficiency in required software applications.

  • Set the tone on reliability, attendance, and high-performance standards.
  • Experience in Google Suite. Knowledge of Asana and Slack preferred.
  • Follow all ADRN policies and procedures. Completes essential training.
  • Fulfill a minimum of 40 hours per week during regular office hours.
  • Serve as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
  • Ability to positively represent the ministry of Austin Disaster Relief, including its vision and mission statement and core values, to all constituencies.
  • As a Christian organization, Austin Disaster Relief Network believes it is critical that each staff member embraces the organization's religious purposes for which it exists and not only agrees with its Statement of Faith but demonstrates it in their lives on an ongoing basis.
  • Ability and willingness to deploy as required.
  • High School Diploma or GED.
  • A minimum of two years of related experience.
  • Employees must be authorized to work in the United States under Federal requirements.

Nice To Haves

  • PMP Certification.
  • Experience in inventory software, Finale or similar.
  • Experience working in the nonprofit sector.

Responsibilities

  • Works with COO and other leaders to identify and address inefficiencies and opportunities for cost reduction.
  • Establishes quantitative and qualitative metrics, guidelines, and standards by which the company's efficiency and effectiveness can be evaluated; identifies opportunities for improvement.
  • Reviews, analyzes, and evaluates business procedures.
  • Implements policies and procedures that will improve day-to-day operations.
  • Ensures work environments are adequate and safe.
  • Ensures accuracy and follows the process for all invoices, accounts payable, billing, and budget-related items as assigned.
  • Forecast, allocate, and supervise warehouse management's financial and physical resources.
  • Document company standards, systematic approaches, policies, and procedures related to all operations activities.
  • Maintain clear communication with stakeholders and provide regular updates on all efforts, including crisis response efforts.
  • Identify assets, supplies, materials, and equipment needed to support ADRN service offerings
  • Manage and maintain equipment, vehicles, trailers, and other assets according to organization standards.
  • Develop and enforce asset management policies, procedures, and best practices, ensuring compliance with regulatory and liability requirements.
  • Develop, manage, and maintain human assets (volunteers), relationships, and engagement.
  • Maintain inventory software and coordinate warehouse product movement daily.
  • Maintain warehouse safety, security, and cleanliness standards.
  • Conduct quarterly inventory counts utilizing available tools/software.
  • Schedule all incoming deliveries and shipping; receive, manage, and process work order requests.
  • Create inventory reports to be imported into the accounting system and ensure accuracy.
  • Oversee the distribution and efficient use of resources such as food, water, and medical supplies.
  • Manage logistics for transportation, including routes and schedules for aid delivery.
  • Ensure adherence to safety protocols, conduct risk assessments, and collaborate on recovery efforts.
  • Oversee building and ground standards, ensuring a healthy, safe, clean, and functional environment.
  • Establish and ensure that safety, security, and emergency preparedness procedures are implemented and followed.
  • Oversee custodial functions and minimum quantities of key materials and supplies.
  • Maintain facility request system to track and complete facility requests, issues, and standards.
  • Secure and manage service contracts.
  • Other duties as assigned.
